Required

Education:
  • HS diploma or equivalent

    Required Skills:
  • 2-4 years of experience in a professional/administrative environment
  • Experience with scanning/PDF management, physical and online document libraries
  • Experience performing quality checks on documentation to ensure accuracy
  • Previous experience with document review
  • Strong communication skills (oral and written)
  • Strong organization and coordination skills
  • Knowledge of MS Office Suite, SharePoint, Teams, Outlook, One Note
  • High attention to detail
  • Initiative and team-oriented mindset

    Desired

    Skills:
  • Experience supporting construction or large capital projects
  • Experience working with drawings and technical documentation
  • Experience working with equipment suppliers
  • Administrative experience within major construction companies (ex: Mortenson or similar)
  • Project Wise, Bluebeam, or Adobe Pro experience; modifying PDF files

    Job Duties:
  • Gathers, analyzes, translates, and delivers information in clear, concise and meaningful formats based on specific project and/or program requirements and according to established project management standards.
  • Provides the project manager support and assistance in scheduling, documentation, communication and cost management.
  • Updates the project plan.
  • Assists in information collection and validations.
  • Provides input to project research information.
  • Facilitates collaborative documents and data stores.
  • Helps prepare status reports and presentations.
  • May coordinate the activities of a project sub team and/or project activities to the extent those efforts might affect completion of assigned tasks.
  • Responsible for processing drawings, RFI submittals and project documentation.
  • Coordinate on all new build projects within energy supply's strategic projects group including new wind farms, solar projects, repowers and other major capital projects (15MM+).
  • Route drawings for approval and ensure timely return to suppliers prior to deadlines.
  • Track submittals and due dates using One Note and shared email inbox.
  • Perform large-format printing, package preparation, and shipment of project documentation.
  • Prepare 11x17 bound drawing books for construction sites.

    Typical Day
  • Monitor and manage shared email inbox.
  • Track drawing submittals and deadlines in One Note.
  • Route drawings to project team members for review and approval.
  • Follow up to ensure approvals are completed before supplier deadlines.
  • Coordinate heavily with Project Managers, Lead Engineers, and Construction teams.
  • Print large-format drawing sets and prepare packages for shipment.
  • Maintain digital and physical documentation libraries.
  • Perform quality checks on documents before distribution.
