Legal Secretary – Floater

Summary

/ Objective

WTO is looking for a Legal Secretary – Floater in Denver. This position requires a minimum of two years of legal support experience and working knowledge to perform a variety of legal and administrative tasks to support the firm’s attorneys and paralegals. Civil litigation experience is a plus. The role provides a high level of personalized customer service and support while producing a high volume of consistently excellent work product in a fast‑paced environment, in order to support the success of the Firm.

Responsibilities
  • Work alongside other members of the firm’s floater group, providing support within a team environment.
  • Collaborate with other floaters to rotate holiday PTO time to ensure availability at all times for secretarial coverage and staff needs.
  • Provide desk coverage when the desk secretary is on leave or vacation; assist with overflow tasks as needed.
  • Coordinate with the desk secretary to provide coverage regarding items listed below as needed to provide support.
  • Provide a wide range of support to billable staff including lawyers and paralegals.
  • Manage document handling, including drafting, proofreading, photocopying or scanning, and distribution as needed; finalize and file court documents as required. Maintain the document management system for assigned matters.
  • Coordinate correspondence, including email communication for team distribution, and proper filing in the document management system.
  • Prepare, edit, proofread, and finalize time‑keeping entries for team members; review and proofread billing correspondence to ensure compliance with billing guidelines and budgets as applicable.
  • Prepare and submit conflict checks, new business memoranda, and engagement agreements as requested. Monitor and maintain billable staff calendars, and assist with scheduling as needed.
  • Prepare and submit expense requests; may be asked to assist with travel or other related items.
  • Locate and download court documents from state and federal jurisdictions as requested.
  • Other special duties or projects may be requested depending on billable staff needs.
Qualifications
  • Minimum 3 years of legal secretary experience; knowledge of litigation a plus.
  • Associate’s or Bachelor’s degree preferred.
  • Proficiency with Microsoft Office programs including Word, Excel, PowerPoint, and Outlook.
  • Detail‑oriented and attentiveness to detail.
  • Strong proofreading skills.
  • Ability to work independently in a fast‑paced environment.
  • Excellent communication skills.
  • Knowledge of legal terms and case processes; familiarity with an electronic court filing system is helpful but not required.
