Position Overview

We are growing and looking for an energetic, highly organized Office Manager to become a cornerstone of our daily operations. This is a hands‑on, varied role in a fast‑paced distribution environment; your contributions will be felt across every part of the business.

Key Responsibilities
  • Sales & Customer Support: Serve as contact for customer inquiries; provide responsive support, assist with order entry, quote preparation, follow‑ups, ensuring accurate and timely information on product availability, lead times, and pricing.
  • Warehouse Coordination: Assist with day‑to‑day warehouse operations, coordinate incoming shipments, verify purchase orders against packing slips, maintain organized inventory records, and serve as a communication bridge between sales and warehouse.
  • Vendor & Rep Agency Relations: Negotiate pricing, terms, and special project quotes with manufacturer representative agencies and vendors; maintain strong working relationships with key reps for competitive pricing and favorable terms.
  • Office Operations & Equipment Management: Oversee routine maintenance of office equipment (computers, printers, phone systems, shipping/receiving tools); manage supply inventory, coordinate with IT and facility providers, keep workspace organized and fully functional.
  • Training & Product Knowledge: Attend manufacturer training sessions, rep agency product demonstrations, and industry seminars; build and maintain knowledge of product lines; share knowledge with team to support sales.
  • General Administration & Marketing: Handle day‑to‑day administrative duties, answer phones, manage correspondence, maintain filing systems, support accounts receivable and payable, assist management with reporting and special projects; create monthly newsletter, blog, and weekly social media postings.
Qualifications & Requirements
  • Experience: 3+ years of office management or administrative experience required.
  • Industry Preference: Background in distribution, wholesale, electrical, lighting, or construction a strong plus.
  • Software

    Skills:

    Proficiency in Microsoft Office Suite (Word, Excel, Outlook);
    Quick Books experience preferred; INFORM ERP helpful.
  • Communication: Excellent verbal and written communication skills; professional phone and email etiquette.
  • Negotiation: Comfortable negotiating pricing and terms with vendors and rep agencies.
  • Organization: Exceptional multitasking and organizational abilities in a fast‑paced environment.
  • Team Player: Collaborative attitude to work effectively within a small, close‑knit team.
  • Education: High school diploma or GED required; associate’s or bachelor’s degree in Business preferred.
Compensation & Benefits
  • Salary: $55,000–$65,000 annually, based on experience.
