Coordinator, Labor and Employment Operations

The Coordinator, Labor and Employment Operations position is a dual-function role responsible for performing routine tasks on a regular basis to provide operational and administrative support across the Workers' Compensation and Team Document Central (TDC) teams. Operating with close supervision and support, the Coordinator completes tasks accurately and efficiently, troubleshoots issues that arise in day-to-day work, and works to understand their root causes.

This role involves documenting processes, leveraging tools to create efficiencies, and providing clear, organized, and concise information while collaborating with teammates and field leaders.

Essential Duties & Responsibilities:

Workers' Compensation Support (50%)

  • Inbox & Mail Management: Manage the daily operations of the Workers' Compensation shared inbox and perform weekly sorting, distribution, and follow-up for office mail, staying organized for effective management during high-volume periods.
  • Reporting & Compliance: Generate, edit, and distribute regular compliance reports. Identify where processes were not followed and collaborate with the team to resolve any reporting breakdowns.
  • Invoice & Settlement Processing: Process monthly claim funding and program management invoices accurately and efficiently. Facilitate signatures and payments for settlements.
  • Claims & Subpoenas: Respond to teammate subpoenas and requests by providing clear and concise information. Troubleshoot day-to-day issues by contacting Facility Administrators (FAs) and teammates to track down missing information and report unreported claims or unpaid medical bills to the carrier.
  • General Administrative & Projects: Manage the team SharePoint site and one-off projects (e.g., state panel postings), leveraging technology to create efficiencies. Handle routine tasks such as booking conference rooms, meetings, ordering food/supplies, and managing expenses.
  • Other duties as assigned.

Team Document Central Support (50%)

  • Digital Teammate Files: Manage and fulfill teammate file requests accurately within established SLAs. Maintain digital job descriptions and document procedures to ensure files are routed to the correct manager for signature.
  • Process Monitoring (Retention & Terminations): Monitor the TDC inbox to review retention bonus submissions in Workday and manage the monthly auto-termination process.
  • Labor Posters: Monitor the inbox and vendor database to ensure all labor law poster services and shipments are up to date for all clinic locations, troubleshooting issues as they arise.
  • Unemployment Administration: Scan and process all unemployment-related mail received at the Denver headquarters in an accurate and timely manner.
  • Other duties as assigned.
Education and

Skills:
  • Education: High school diploma or equivalent required. Associate's degree or higher preferred.
  • Experience: 1 to 3 years of experience in an administrative, operational support, or coordinator role. Prior experience with HR, document management, or Workers' Compensation processes is strongly preferred.
  • Technical

    Skills:

    Intermediate proficiency in Microsoft Office applications (Outlook, Excel, Word, SharePoint). Familiarity with HRIS platforms (e.g., Workday) and case/document management systems is a plus.
  • Professional

    Skills:

    Strong organizational and time-management skills with the ability to effectively juggle tasks across two distinct teams. High attention to detail and ability to handle confidential information (such as teammate files, subpoenas, and medical bills) with discretion. Clear and concise written and verbal communication skills.
Wage Range:

$20.50-$28.00 per hour.
