Job Overview
Performs various tasks and activities to provide administrative, reception and clerical support to a City Office, department(s) and/or group of team members and managers.
Responsibilities- Ensures that office facilities (telephones, voicemails, fax machines, office equipment, temperature, HVAC, lighting and other systems) are operational by coordinating with vendors, contractors and building management.
- Greets visitors, guests and team members; offers refreshments, directs them to meeting rooms and offices, and answers questions regarding facilities and arrangements.
- Maintains calendars, schedules meetings and events, and resolves scheduling conflicts to optimize time and resources.
- Manages inventory of office supplies and equipment, places orders within budget, and liaises with vendors for repairs, lease renewals, maintenance and billing issues.
- Answers incoming calls, directs callers, captures messages and follows up to ensure customer satisfaction.
- Prepares documents, letters, presentations and communication materials; types, spell‑checks, creates graphs and ensures compliance with retention policies.
- Handles incoming and outgoing mail, maintains postage meters, sorts priority mail and prepares overnight or special packages.
- Maintains appearance of reception area, conference rooms, break rooms and common spaces; stocks refrigerators with beverages and keeps furniture orderly.
- Completes various human resources, financial, administrative reports and analyses, and performs other duties as assigned.
- Hourly rate: $24–$25.
- Possible participation in quarterly/annual bonus programs (corporate positions) or weekly/monthly/quarterly bonus programs (onsite property positions) based on performance.
