Administrative Assistant – Housing Support Services:
On‑Site Program

Location:

Essential Job Functions
  • Client‑facing duties including distribution of mail, staffing the front desk, answering phone calls, and managing invoices.
  • Operate onsite during business hours and maintain a centralized database of all client profiles and related tracking systems (RTD bus fares, motel vouchers, office expenses, food bank orders).
  • Provide extensive data entry support for HMIS, EHR databases and Excel.
  • Assist with internal and external agency reports to federal grant sources and CCH management.
  • Maintain cleanliness and organization of communal areas for clients and staff.
  • Photocopy, fax and scan documents into EHR.
  • Maintain and schedule repair for office equipment; manage program vehicle maintenance, registration and insurance documentation.
  • Perform receptionist duties as necessary.
  • Participate in all team meetings as requested.
  • Create and edit correspondence.
  • Schedule meetings, set up meeting rooms, take and disseminate meeting minutes and other materials.
  • Deliver and pick up program information and mail from other Coalition sites daily.
  • Provide orientation to new staff and volunteers and create new hire binders as needed.
  • Use Microsoft Excel extensively for tracking and payment in multiple areas.
  • Ensure payments are made to vendors.
  • Order all supplies needed for the department weekly.
  • Coordinate with management on new projects as assigned.
  • Track and reconcile all department expenses, including monitoring credit card transactions and receipts.
  • Create and run reports for managers via HMIS and EHR, typically reconciling in Excel.
  • Maintain department‑specific records, both hard copies and electronic, of tracking forms for bus passes, motels, and other program needs.
  • Serve as point of contact for case managers, management and outside entities to answer organizational and administrative questions.
  • Perform other duties as assigned by management.
  • Handle sensitive information and participate in confidential meetings, maintaining discretion and confidentiality at all times.
  • Pass automobile insurance carrier’s motor vehicle record investigation.
  • Be available by cell phone during all business hours.
Additional Requirements
  • Valid driver’s license required. This requirement may be waived, if necessary, based on overall candidate experience and current needs of the business and/or role.
Qualifications Summary
  • Skill in operating office equipment (computers, software such as Microsoft Word, Excel, PowerPoint, e‑mail, telephones).
  • Skill in oral and written communications.
  • Ability to communicate effectively with diverse audiences in a timely manner.
  • Ability to organize and prioritize multiple responsibilities simultaneously.

Experience
  • Knowledge of homeless issues and demonstrated sensitivity to underserved populations.
  • Extensive knowledge and experience in using Microsoft Excel.
  • Demonstrated competence in all CCH databases including HMIS and EHR.
Education
  • High school diploma or equivalent required;
    Bachelor’s degree preferred.
  • At least 2 years of prior experience performing administrative duties.
Compensation

$20.64 – $24.28 an hour, based on total relevant years of experience.
