Position Summary

Administrative Coordinator role for Dr. Cathy Bodine, Executive Director of the Coleman Institute for Cognitive Disabilities and Executive Director of the Colorado Clinical and Translational Sciences Institute (CCTSI) Innovations Ecosystem. Provide administrative support, project management, scheduling, agenda development, procurement, and correspondence. Handle confidential material with high attention to detail and maintain positive stakeholder relationships. Report to Executive Director.

Where You Will Work

Office-based 4 days a week at various CU office and campus locations. Must be Colorado residents or able to relocate to Colorado within one month of start. In‑office requirements may be adjusted with at least three months notice.

Duties and Responsibilities
  • Provide primary administrative support to the Executive Director: answering and triaging phone calls and emails, calendar management, and ensuring accurate scheduling.
  • Coordinate visitor and guest experience, handle meeting requests, prioritize meetings in line with the Executive Director’s strategic initiatives, and manage sensitive requests with discretion.
  • Assist with scheduling large meetings, committee meetings, and associated events.
  • Maintain event calendar and prepare comprehensive background materials for effective meeting preparation.
  • Take notes and record meeting minutes.
  • Travel coordination: arrange conference bookings, airfare, hotel accommodations, and handle travel reimbursement and reconciliation.
  • Compose, edit, and proofread correspondence and materials for signature, conduct quality reviews of documents, and proofread for accuracy.
  • Organize and maintain office files, safeguarding confidential information.
  • Oversee special projects from initiation to completion, ensuring alignment with organizational goals; purchase items through approved purchasing process.
  • Plan and coordinate meetings, summits, retreats, and special events, including venue booking, refreshments, agenda preparation, minute taking, and room setup.
  • Assist with official off‑campus events and paperwork.
What We Offer

Salary: $64,000 – $68,000 annually. Compensation determined by education, training, experience, and market value.

Minimum Qualifications
  • Bachelor’s degree from an accredited institution of higher education or equivalent professional experience.
  • Three (3) years of professional office coordination and support, event planning, or experience supporting a director or manager in a professional office setting.
Preferred Qualifications
  • Graduate degree or post‑baccalaureate degree in a human services, engineering, or related field.
  • Five (5) years of professional experience as described above.
  • Experience in a higher education setting.
  • Experience working with People Soft Financial, Marketplace, and Concur Travel Software.
Knowledge, Skills, and Abilities
  • Understanding of higher education systems and shared governance.
  • Collaboration and teamwork across diverse areas.
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook) and ability to learn new software.
  • Strong interpersonal, written, oral, and listening communication skills.
  • Organization and scheduling skills; ability to manage multiple tasks and deadlines.
  • Presentation skills; ability to convey information clearly.
  • Ability to work under pressure, manage competing priorities, and maintain personal effectiveness.
  • Independent work with minimal supervision and reliable professional judgment.
  • Understanding of office management principles and best practices.
  • Proofreading, grammar, punctuation, formatting skills and attention to detail.
  • Ability to interpret and apply complex rules and regulations.
  • Handling sensitive and confidential material.
  • Organize, plan, and execute logistics for meetings and events.
