Administrative Coordinator
The Administrative Coordinator will provide general office support for Dr. Cathy Bodine, Executive Director of the Coleman Institute for Cognitive Disabilities and Executive Director of the Colorado Clinical & Translation Sciences Institute (CCTSI) Innovations Ecosystem. The role requires strong communication, project‑management, and confidential‑handling skills and is based in the University of Colorado System Administration office.

Administrative Support- Coordinate the Executive Director’s calendar, answer and triage phone calls and e‑mail, and maintain accurate scheduling.
- Host and warmly welcome visitors and guests, handling sensitive meeting requests with discretion.
- Arrange and support large meetings, committee meetings, and other events as needed.
- Compile and organize comprehensive background materials and meeting agendas.
- Take minutes and record meeting notes.
- Arrange travel itineraries, including conference bookings, airfare, hotels, and post‑trip expense reconciliation.
- Compose, edit, and proof‑read timely correspondence for signature.
- Conduct quality reviews of materials and proofread before submission to the Executive Director.
- Organize and maintain confidential office files.
- Implement special projects from initiation to completion and purchase approved items in the Bioscience 3 office following the standard purchasing process.
- Plan meetings, summits, retreats, and events with leadership, advisory committees, faculty, staff, and external collaborators.
- Coordinate scheduling, venue selection, refreshments, and support for external participants.
- Prepare agendas, supporting materials, and record minutes; promptly communicate any updates or changes.
- Manage special events such as receptions, retirements, farewells, and community gatherings, updating the College calendar accordingly.
- Ensure room reservations, configuration, and required paperwork are completed in advance.
- Assist the Executive Director with official events and off‑campus meetings, including submission of necessary documentation.
Salary range: $64,000‑$68,000.

- Bachelor’s degree from an accredited institution or equivalent professional experience.
- Three (3) years of professional office coordination, event planning support, or comparable experience supporting a director or manager.
- Bachelor’s or post‑baccalaureate degree in human services, engineering, or a related field.
- Five (5) years of professional experience in the above areas.
- Experience in a higher education setting.
- Experience with People Soft Financial, Marketplace, and Concur Travel Software.
- Understanding of higher education systems and shared governance.
- Collaboration skills across diverse teams.
- Proficiency with Microsoft Office suite; willingness to learn new software.
- Strong interpersonal, oral, written, and listening communication skills.
- Excellent organizational, scheduling, and project‑management abilities.
- Presentation and facilitation skills for various audiences.
