The Administrative Assistant in Public Works Operations performs complex and varied public contact and administrative functions supporting multiple work groups. This position has a strong customer-service focus, answering customer calls and generating work orders to ensure high-quality service to Northglenn customers. It requires strong organizational skills, attention to detail, and the ability to work effectively in a fast-paced environment. Work is performed under general supervision and requires the exercise of independent judgment and discretion in execution.

Responsibilities- Answer customer calls primarily for trash and recycle but also for permitting, construction meters, and other Public Works requests.
- Organize, track, and process incoming sanitation service requests.
- Greet visitors and provide general front-desk support.
- Perform office receptionist duties and respond to inquiries based on departmental policy.
- Support department events through administrative coordination.
- Deliver administrative documents to other facilities.
- Crosstrain on other administrative duties to ensure coverage across various administrative functions.
- Provide back-up support to process vehicle registrations.
- Process purchase orders, invoices, and related documents.
- Provide back-up support to process various right-of-way, roll-off, and other permits.
- Provide coverage for other staff during absences.
- Type correspondence, reports, forms, and other materials from rough drafts or instructions.
- Receive and process mail; maintain forms and supplies inventory.
- File documents and retrieve materials as needed.
- High school diploma or equivalent.
- Five years of responsible experience in administrative or clerical work, or any equivalent combination of education and experience.
- Strong Microsoft Office proficiency including Word and Excel with ability to learn business-specific programs.
- Ability to use phone systems.
- Ability to do various accounts payable and purchasing processes.
- Strong organizational skills and ability to maintain clerical records.
- Ability to understand and follow complex oral and written instructions.
- Ability to multi-task and complete work with frequent interruptions.
- Excellent communication and customer service skills.
- Ability to work well in a team environment.
- This is a part-time, non-exempt position.
- Work is generally sedentary in an office setting.
- Occasional lifting may be required (e.g., moving reams of paper or other office supplies).
- Must be able to work in a team-oriented environment and handle high-pressure situations.
