Your MissionWe are seeking an experienced Document Controller to support our North American projects. This role will play a vital part in ensuring the accuracy, integrity, and accessibility of project and organizational documentation. Reporting to the VP of Project Execution, the Document Controller will manage document control processes to ensure compliance, accuracy, and timely distribution of project records. This position offers an opportunity to significantly contribute to the success of our North American operations through robust documentation practices and process improvements.
YourDay-to-Day Adventures
- Document Management: Serve as the primary point of contact for Hydrostor’s Document Management System (Procore) for North American projects, ensuring the accurate management, issuance, and tracking of documentation, drawings, and project records.
- Process and System Assurance: Support internal stakeholders, contractors, and suppliers to ensure secure and orderly retention of project documentation, including regulatory, technical, and contractual compliance.
- Distribution and Workflow: Facilitate document distribution to relevant stakeholders, track review cycles, and report on compliance with expected and contractual turnaround times.
- Audit Compliance: Prepare for and support internal and external audits by creating compliance plans, organizing required documentation, and ensuring adherence to obligations registers.
- Collaboration: Provide guidance and support to office and field-based teams, as well as external vendors and suppliers, on document control requirements and best practices.
- Continuous Improvement: Identify areas for process enhancement, propose improvements, and lead implementation initiatives to increase document control integrity and efficiency.
Who You Are
We are seeking a detail-oriented and highly organized individual with a proven track record in document control for energy, oil and gas, or similar project environments. The ideal candidate will demonstrate strong communication, problem-solving, and interpersonal skills. This role requires collaboration across multiple teams, making adaptability, technical acumen, and the ability to manage multiple priorities essential for success.
What You Bring- Minimum of 5 years of experience in document control, preferably in a project environment within energy, oil and gas, or mining sectors.
- Proven time management and organizational skills with the ability to prioritize competing demands.
- Proficient in electronic document management systems (EDMS), specifically Procore.
- Experience with Microsoft Office 365, including SharePoint and Teams, is required.
- Strong understanding of document review processes and the ability to coordinate technical reviews for multidisciplinary project teams.
- Excellent verbal, written, and interpersonal communication skills, with the ability to create clear, concise, and professional reports.
- Ability to analyze and distill large amounts of information to identify key issues and recommend strategic actions.
- Records Management, Information Management, or Business Administration qualifications are considered an asset, especially if they support membership in the Records and Information Management Practitioners Alliance (RIMPA) or a similar professional organization.
