Executive Assistant
The Executive Assistant effectively coordinates administrative activities for NGL’s Water Solutions executive management team, ensuring accuracy and excellence in the execution of administrative tasks.
Responsibilities- Perform accurate timekeeping in HR management system and submit on time per payroll deadlines.
- Directly support the EVP and the SVP/COO of NGL’s Water Solution business segment, coordinating and executing day‑to‑day administrative activities and special projects.
- Assist visiting NGL executives and Water Solutions managers with travel and meeting arrangements, document and spreadsheet development, and general administrative tasks.
- Coordinate scheduling, meeting arrangements, travel and events; field and route phone calls and respond to general requests.
- Partner with the Front Desk on mutual activities including administrative and phone coverage, visitors, conference room scheduling, and office events.
- Monitor and report building / facility / maintenance issues on the 5th floor to the Front Desk; coordinate office supply orders, mailing and shipping.
- Maintain a tight file management system and organization.
- Create, edit, and produce documents, spreadsheets, and presentations including printing, scanning, and binding.
- Plan and prepare for office visitors; arrange refreshments and lunches as needed.
- Run errands as assigned.
- Manage expense reporting, collecting, organizing and maintaining receipts; enter and submit expenses.
- Work on special projects as assigned and perform general administrative tasks such as data entry, filing, and organization.
- High school diploma / GED or equivalent experience.
- Minimum of 3 years of experience in an administrative capacity in a corporate environment; direct experience supporting executive‑level management preferred.
- Valid driver’s license with an acceptable driving record.
- Experience with Microsoft Office (Outlook, Teams, Word, Excel, PowerPoint); advanced knowledge (e.g., mail merge, pivot tables, VLOOKUP) is a plus.
- Experience with large‑scale enterprise information systems such as accounting, sales tracking, and HRIS.
- Strong administrative and organizational capabilities with high detail orientation and excellent time management.
- Exceptional interpersonal, verbal and written communication skills; ability to proof‑read and edit documents for grammar and syntax.
- Discretion, confidentiality, and discretion at all times.
- Strong customer service skills with understanding of executive suite business needs.
- Proficiency operating business tools and equipment (printers, copiers, binding machines).
- Ability to learn new technology tools quickly and to thrive in a high‑demand, dynamic environment.
- Ability to work on multiple tasks amid shifting priorities while producing high‑quality, accurate work.
- Ability to maintain stability under pressure, be flexible, and modify plans as needed.
- Positive representation of the Company internally and externally; respectful and cooperative with employees and customers.
- Dependable with a stable work history; notary public designation is a plus.
Occasional positioning, transport, or moving of up to 25 pounds; standing, walking, and standing for long periods of time; use of hands to finger, handle, or feel; communication verbally and in writing; repetitive motion; and use of computer and phones.

Compensation Range:
Annual Salary $65,000.00 – $95,000.00.
