WTG is seeking a proactive and organized Office Manager to support the Denver office on a part-time basis, with the opportunity to grow into a full-time position as the office's needs expand. This role brings dedicated day-to-day office support to an established Denver location. Working closely with the Senior Executive Assistant, the Office Manager will keep the office running smoothly, welcome visitors, manage supplies and vendor relationships, and ensure the space is set up for productive work and meaningful in-person collaboration.
The ideal candidate is a dependable, service-minded early-career professional with 1-3 years of office administration or reception experience. They take pride in creating a welcoming, well-organized workspace, enjoy juggling a variety of practical tasks, and bring a "no task too small" attitude to supporting the team. They are comfortable being the first point of contact for guests, deliveries, and building services, and they know how to anticipate needs before they arise.
This role is fully on-site during scheduled hours, with an expectation of four days per week in the office (full or partial days) and offers some flexibility to align the specific weekly schedule with the candidate's availability and the operational needs of the office. Schedule Monday - Thursday: 10am - 4pm
QualificationsThis role does not have direct supervisory responsibilities but will provide functional guidance to office vendors, service providers, and cross-functional team members during events and day-to-day office operations.
Key Responsibilities Front Desk & Visitor Experience- Serve as the first point of contact for the Denver office, greeting employees, guests, candidates, and vendors with a professional and welcoming presence.
- Manage incoming and outgoing mail, packages, and courier deliveries, including sorting, distribution, and outbound shipments.
- Coordinate visitor access, parking validation, and building sign-in procedures in partnership with property management.
- Maintain a tidy and inviting reception area, conference rooms, and shared spaces that reflect WTG's professional standards.
- Oversee day-to-day office operations, ensuring the space is fully stocked, functional, and well-maintained.
- Manage inventory and ordering of office supplies, kitchen and breakroom stock, and printing and technology consumables within approved budget.
- Serve as the point of contact for building management, cleaning services, IT support vendors, and other third-party providers, coordinating maintenance requests and service visits.
- Support minor facilities projects such as new hire workspace setup, furniture reconfiguration, and internal office moves in partnership with the Senior Executive Assistant.
- Track office-related expenses, submit invoices for approval, and maintain accurate records of vendor agreements and recurring services.
- Run local errands as needed (supplies, catering pickup, banking, shipping) using a personal vehicle with mileage reimbursement.
- Coordinate monthly office meals, menu selection, ordering, delivery timing, and setup and cleanup.
- Support additional Denver office events including logistics planning, catering, room setup, and material preparation.
- Partner with the Senior Executive Assistant on VIP visits and executive-hosted meetings to ensure a polished on-site experience.
Education
- High school diploma or equivalent required.
- Bachelor's degree preferred.
Experience
- 1-3 years of experience in office administration, reception, front desk, or office coordinator role.
- Experience managing vendor relationships and coordinating office logistics preferred.
- Prior experience supporting a corporate office or professional services environment a plus.
Required Skills & Abilities
- Strong organizational skills with the ability to manage multiple priorities and interruptions in a fast-paced office environment.
- Excellent verbal and written communication skills with a warm, professional demeanor.
- Proficient in Microsoft Office (Outlook, Word, Excel, Teams) and comfortable learning new tools and systems.
