About the Role
The Executive Assistant to the CEO is Rocky Mountain Prep’s chief anticipator — the person who stays two steps ahead of the CEO, not two steps behind. This is not a traditional administrative role: it is a strategic operations partnership built around one person’s effectiveness, discretion, and pace. The Executive Assistant owns the CEO’s calendar, meeting preparation, and daily operating rhythm;
anticipates what the CEO will need before she asks; and treats the unglamorous work of keeping a CEO ready and on track—building agendas, prepping materials, managing logistics—as real, valued operational work, not lesser work.
- Own and proactively manage the CEO’s calendar, anticipating conflicts, protecting time for driving priorities, and building the week around what matters most before issues arise — not just reacting to requests as they land.
- Coordinate travel, direct‑report check‑ins, and external meetings with an eye toward the CEO’s energy and focus, not just scheduling availability.
- Help the CEO remain accessible and approachable while thoughtfully managing requests on her time — rerouting what can be better handled elsewhere with care and professionalism.
- Build agendas and prepare the CEO for her standing meetings, 1:1s, and Cabinet check‑ins — arriving at each with a point of view on what needs to be covered, not waiting to be told.
- Facilitate executive meetings by managing time effectively, keeping discussions on track, and driving follow‑up on action items after the CEO’s meetings.
- Anticipate what’s on the horizon — flagging upcoming decisions, deadlines, and moments that need the CEO’s attention before they become urgent.
- Assist with presentations, briefings, and reports the CEO needs for key engagements, including stakeholder updates and strategic planning sessions.
- Represent the CEO professionally and warmly in day‑to‑day correspondence and scheduling communications with internal and external stakeholders.
- Treat the operational and logistical work of supporting a CEO — building systems, tracking details, managing the unglamorous parts of the job — as real, valued strategic work, not administrative overhead.
- Continuously optimize the processes and systems within the Office of the CEO to improve productivity and reduce friction in the CEO’s day‑to‑day operations.
- Manage ad hoc requests and shifting priorities with composure, judgment about what’s urgent versus what can wait, and a bias toward solving problems before they reach the CEO’s desk.
- Proactively support the CEO’s sustainable pace, recognizing the importance of balance and resilience in her leadership, and building that awareness into how her calendar and week are constructed.
- Demonstrated ability to work proactively and anticipate needs — this role is not a fit for someone who prefers to be told exactly what to do each day.
- Experience operating as a strategic partner to a senior leader, not a traditional administrative support role; comfortable with both big‑picture anticipation and hands‑on logistics in the same day.
- Exceptional organizational skills and follow‑through, with the ability to manage a fast‑moving, high‑stakes calendar without dropping details.
- Strong written and verbal communication skills, with the presence and polish to represent the CEO credibly to Board members, senior leaders, families, and external partners.
- Unwavering discretion with confidential and sensitive information.
- A collaborative, easy‑to‑work‑with style paired with the confidence to make judgment calls and push back thoughtfully when needed — not a passive order‑taker, and not someone who views operational work as beneath them.
- Comfortable holding ambiguity and building structure into a fast‑paced, evolving role.
- Experience working across multiple functional areas and diverse stakeholder relationships, with the range to navigate different audiences, priorities, and working styles with ease.
