POSITION SUMMARY

The Administrative & Compliance Manager provides administrative and operational support to Pathways of Life Recovery Services (PLRS), a fully owned subsidiary of Denver Rescue Mission, ensuring effective coordination across teams and departments. This role manages scheduling, communication, and documentation processes, while supporting leadership in monitoring compliance with internal policies and external regulations. The position is responsible for preparing required reports and documentation for the PLRS governing body, ensuring accurate and timely submission on an annual or semiannual basis.

The role also facilitates collaboration with external partners, including billing consultants, legal counsel, and other service providers, to support efficient and compliant program operations.

This position will initially be employed by Denver Rescue Mission during the startup and licensure phase of PLRS. Upon establishment of PLRS operations, the role is expected to transition to employment under PLRS. The position will maintain continuity in duties and responsibilities throughout this transition while aligning with the appropriate employing entity.

RESPONSIBILITIES

Administrative Support

  • Provide scheduling and calendar management support for leadership, clinical teams, and interdepartmental meetings, ensuring efficient use of time and coordination across departments.
  • Take accurate notes during leadership and program meetings and distribute clear, timely summaries, including tracking follow up items and accountability.
  • Implement a system to preserve meeting notes, reports, and other documents so that they are accessible to PLRS leadership.
  • Assist with drafting, formatting, and distributing internal communications, reports, and documentation.
  • Ensure Medicaid enrollment and billing related administrative processes are completed, tracked, and maintained in alignment with requirements.
  • Maintain and oversee internal policies, procedures, forms, and related documents, ensuring they are current, accessible, and consistently issued to staff, and coordinate regular updates in alignment with organizational and regulatory standards.
  • Track, review, and manage execution of agreements and contracts, ensuring they are current, properly signed, and executed as required.
  • Serve as a central point of contact across clinical, administrative, and operational teams, supporting effective communication, coordination, and collaboration with internal departments and external partners.
  • Coordinate preparation of materials for audits, accreditation reviews, and regulatory inspections, ensuring accuracy and timeliness.

Compliance & Documentation

  • Support leadership in monitoring compliance with internal policies and applicable regulations, including Behavioral Health Administration (BHA) requirements and critical incident reporting, such as assembling an annual critical incident trend report.
  • Conduct regular audits to ensure compliance with BHA, Medicaid, and other applicable governing bodies.
  • Ensure policies and procedures are reviewed and maintained in accordance with required timelines and regulatory standards.
  • Coordinate and track required policy reviews and updates, including full policy audits at least every three years or as required by standards.
  • Ensure documentation, reporting, and record keeping meet all organizational and regulatory requirements.
  • Organize and maintain confidential files, records, and databases in compliance with HIPAA, 42 CFR Part 2, and other applicable standards.
