Business Manager/Executive Administrator

Our client on the south side of Denver has an immediate need for a Business Manager/Executive Administrator. Position details as follows:

Primary Responsibilities:

Administrative
  • Coordinate and prioritize administrative operations
  • Allocate available resources to enable successful task performance
  • Maintain established procedures for record keeping; offer innovations
  • Learn and utilize filing systems compliant with company protocols
  • Learn and understand ISO standards and protocols
  • Ensure ongoing documentation compliance for ISO, EPA, OSHA and other federal and state mandates
  • Oversee adherence to office policies and procedures
  • Maintain databases
  • Review operating practices and implement improvements to improve operational efficiency
  • Liaise with internal staff at all levels
  • Monitor and maintain office and general supply inventories
  • Contract with vendors for various services
  • Ensure security, integrity and confidentiality of data
Executive Support
  • Interact with clients and visitors
  • Answer and manage incoming calls
  • Monitor, screen, respond to and distribute incoming communications
  • Prepare, proofread, and edit correspondence, communications, presentations and other documents
  • File and retrieve documents and reference materials
  • Collect, compile and analyze performance data to prepare reports and documents
  • Coordinate project-based work
  • Prioritize and coordinate project workflow
  • Manage and maintain executives' schedules, appointments and travel arrangements
  • Arrange and coordinate meetings and on-site marketing demonstrations
Order Management
  • First-line customer contact – handling customer inquiries and order data
  • Collaborate scheduling with various departments to book incoming orders
  • Monitor shipping requirements to ensure timely delivery
  • Generate Production Schedules, shipping documents and required certifications
Accounting
  • Maintain and reconcile banking activities; track receipts and disbursements; balance checkbook
  • Control and post accounts payable and related payments
  • Monitor and post accounts receivable activities
  • Generate customer invoices
Human Resources
  • Collaborate with Professional Employment Organization (PEO) and related Human Resources entities to develop, implement and administer policies and practices compliant with state and federal law
  • With advice from PEO, advise managers on organizational policy matters as established in accordance with governmental law
  • Assist in the development of orientation, training and HR documents
  • Provide current and prospective employees with information about policies, working conditions, and employee benefits
  • Conduct new employee orientation "on-boarding" for manufacturing staff to foster positive attitude toward organizational objectives
  • Maintain records and compile statistical reports concerning personnel-related data such as hires, transfers, performance appraisals, and absenteeism rates
  • Report on work-related accidents for insurance carriers
  • Provide terminated employees with required post-employment materials
Minimum Requirements
  • Skilled in Microsoft Outlook, Word, Excel and Access
  • Experience with accounting software;
    Microsoft Dynamics preferred, but not required
  • Strong written and verbal communication skills in English
  • Maintain a well-ordered work space
  • Adhere to all company processing procedures as outlined in the Standard Operating Procedures Manual
  • Follow all safety rules and policies as set forth by guidelines as outlined in the Standard Operating Procedures Manual
  • Follow protocols and policies as outline in the Employee Handbook
  • Professional appearance and dress
Additional Experience/Personal Traits
  • Bachelor's degree preferred
  • Manufacturing experience/exposure preferred
  • Three years' experience as executive assistance or equivalent preferred
  • Aptitude for learning in a fast-paced environment
  • Entrepreneurial spirit with a high sense of urgency
  • Personable and confident
  • Efficient with an attention to detail and quality of work
  • Energetic and resourceful with the ability to multi-task and work independently
  • Responsible for the organization and coordination of office operations, procedures and resources to facilitate organizational effectiveness and efficiency
  • Provide personal administrative support and assistance to executive staff
  • Work in a self-directed and detailed-focus manner in a high-energy, fast-paced environment Present a knowledgeable and professional company image
