We are currently seeking a highly organized and detail-oriented Legal Practice Assistant. This position will be part of the Assigned Team, providing dedicated administrative and legal support to partners and working in close coordination with team members to deliver efficient, high-quality service and support.

The ideal candidate is proactive, client-focused, and experienced in supporting real estate matters, with strong communication skills, attention to detail, and sound judgment.

Key Responsibilities:
  • Prepare, revise, and format legal documents and correspondence using various software applications. Proofread documents and correspondence for content, spelling, grammar, language usage, and punctuation.
  • Assist with real estate closings, including preparing closing documents, coordinating signatures, and organizing related materials.
  • Prepare documents and applicable fees for Secretary of State and UCC filings and submit electronic filings as needed.
  • Manage the business intake process, run conflict searches, draft engagement letters, and open new files.
  • Maintain and manage timekeeper calendars, including court docket deadlines, conferences, teleconferences, depositions, and other meetings as requested.
  • Assist as needed with projects, overflow work, administrative work, and other duties to provide support and to help with the workloads of attorneys, peers, and other colleagues throughout the firm.
  • Manage administrative tasks, including, but not limited to, processing and distributing mail, preparing audit letter responses, completing expense reports, preparing check requests, and reviewing client billing statements.
  • Use the CST workflow application to enter, manage, and monitor support requests, proactively communicating with attorneys and other timekeepers, assessing task urgency and capacity, and accepting appropriate assignments to support timely completion, workflow efficiency, and continued skill development.
Job Requirements:
  • High school diploma or equivalent.
  • 3+ years of legal practice assistant experience required.
  • Transactional experience required.
  • Strong proficiency in Microsoft Office software programs; experience with Docu Sign, Athennian, Simplifile, or related platforms preferred.
  • Ability to learn and apply practice group and firm-specific software programs, including the CST workflow application, at a proficient level.
  • Ability to work independently and collaboratively within a team structure, follow instructions in written, oral, or diagram form, and adapt quickly in a fast-paced environment.
  • Ability to communicate effectively and professionally with firm clients and personnel at all levels by phone, email, and in person.
  • Ability to organize, prioritize, and complete multiple tasks under time constraints while handling confidential information appropriately.
