Job Description

The Office Administrator serves as the central hub of the office, responsible for orchestrating the smooth operation of the office environment by managing the front desk and related duties. The first point of contact for visitors, clients, and team members, providing exceptional customer service and ensuring all receive a first-class experience at Stream Realty Partners. This role will encompass a diverse array of tasks, from managing administrative duties to fostering a positive and efficient workplace culture.

This is the go-to person for both internal team members and external stakeholders, ensuring that all aspects of the office run seamlessly. A warm demeanor, excellent communication skills, and attention to detail will be instrumental in creating a welcoming and professional atmosphere.

Primary Responsibilities:

  • Greet and welcome visitors in a professional and friendly manner. Coordinate with staff regarding visitor arrivals and appointments. Validate parking, as needed.
  • Answer and direct phone calls promptly and courteously. Maintain employee and property contact directories, providing up to date information to answering service vendor.
  • Handle incoming and outgoing mail, packages, and deliveries. Responsible for managing the Fed Ex account, creating shipment labels, and invoice processing. Also, coordinates courier packages for team members, upon request.
  • Oversee the maintenance, cleanliness, and organization of the office space, including conference room appearance and readiness for meetings. This includes restocking refreshments as needed and light catering requests. Liaise with building management and/or vendors for inside suite repairs and services.
  • Manage office and breakroom supply inventory. Proactively place orders to maintain appropriate stock levels. Maintain replenishment schedule.
  • Process basic accounting tasks such as invoicing and expense tracking. Assist with electronic filing, data entry, and document organization for corporate invoices and payments. Ensure chain of custody documentation is maintained for all checks received.
  • Oversee planning and execution of employee engagement activities and celebrations. Organize monthly recognition events in alignment with budget.
  • Manage communication for employee engagement events and internal announcements, ensuring accurate and timely relay of information.
  • Responsible for the upkeep of office equipment, including copiers, postage machines, and printers, ensuring functionality and addressing any maintenance needs promptly. Proficiency in technology troubleshooting and familiarity with office equipment.
  • Assist with tasks related to candidate interviews and new employee onboarding. Collaborate with various departments to ensure pre-employment tasks are completed on time.
