Position Summary

The Receptionist / Concierge is the first point of contact for residents, families, visitors, vendors, and callers. This person keeps the front desk welcoming, organized, and secure while helping departments across the community with daily needs. We’re looking for someone who enjoys working with older adults, follows through on assignments, and is comfortable taking direction from directors and managers throughout the community.

What

You’ll Do
  • Welcome residents, families, visitors, and vendors; answer questions and connect them with the right team member.
  • Answer and route calls, take accurate messages, and promptly relay time-sensitive information.
  • Follow visitor sign-in and access procedures, monitor the front entrance, and keep the reception area clean and presentable.
  • Receive and distribute mail, packages, deliveries, and correspondence.
  • Complete administrative work such as filing, scanning, data entry, preparing packets, maintaining logs, and assisting with communications.
  • Respond professionally to resident and family requests, and bring care, safety, billing, or service concerns to the appropriate director or manager.
  • Assist with events, tours, move-ins, and resident programs. Provide appropriate support to the Activities Department when coverage is requested.
  • Help the business office, dining, housekeeping, and other departments with non-clinical tasks when assigned, while maintaining necessary front desk coverage.
  • Protect resident and employee information and discuss confidential matters only with authorized people in appropriate settings.
  • Report safety concerns, suspected abuse or exploitation, and emergencies promptly; follow community emergency procedures.
  • Communicate unfinished work and important updates to the next shift and appropriate supervisor.

Teamwork is an essential part of this role. The Receptionist / Concierge reports to the Executive Director or designee and is expected to accept and complete reasonable assignments from community directors, managers, and designated supervisors, including work that supports departments outside the front desk. Assignments will be within the employee’s training and authority. When priorities conflict or an assignment raises a safety or training concern, the employee should promptly ask the assigning manager for guidance.

Qualifications
  • High school diploma or GED required.
  • Reception, customer service, hospitality, senior living, or healthcare experience preferred.
  • Warm, professional communication and genuine respect for older adults.
  • Dependability, punctuality, sound judgment, and attention to detail.
  • Ability to stay organized and courteous while handling interruptions and changing priorities.
  • Basic proficiency with phones, email, Microsoft Office or similar programs, and common office equipment.
  • Ability to maintain confidentiality and follow safety and security procedures.
  • Willingness to assist across departments, learn new tasks, and remain engaged throughout the shift.
  • Ability to move throughout a three-floor community and occasionally lift or carry up to 25 pounds, with reasonable accommodations as applicable.
