Walton Enterprises is seeking a skilled, highly motivated and entrepreneurial individual to join the team as an Executive Assistant. The ideal teammate will have the demonstrated ability to manage complex calendars, travel, meetings, expenses, communications, and follow-up with strong organization, discretion, sound judgment, and attention to detail.
About the Position
The Executive Assistant provides administrative, scheduling, travel, and workflow support to an assigned executive. This role helps the executive stay focused on priorities by managing calendars, coordinating meetings and materials, tracking follow-up, and supporting day-to-day operational needs. The position requires strong organization, discretion, and reliable communication.
What you will do
You will provide day-to-day executive support by coordinating calendars, meetings, travel, expenses, materials, communications, and follow-up while maintaining organized systems and protecting confidential information.
Responsibilities- Proactively manage complex calendars across professional and personal commitments for the assigned executive.
- Coordinate meetings, agendas, materials, notes, and follow-up to support timely decision-making and accountability.
- Coordinate travel arrangements, itineraries, logistics, and related briefing materials.
- Track and reconcile credit card expenses, receipts, approvals, and related documentation accurately and timely.
- Serve as a coordination point between the assigned executive, department team members, and key stakeholders.
- Maintain tracking systems for meetings, priorities, decisions, action items, documents, and follow-up.
- Attend meetings taking notes and preparing briefing documents, decision trackers, reports, summaries, and correspondence as requested.
- Support meeting and event coordination in partnership with internal teams, vendors, and accounting.
- Maintain contact records, digital files, and document organization while protecting confidential information.
- Preparation and editing of presentations as needed in Word or PowerPoint.
- Strong calendar, travel, meeting, and administrative coordination skills.
- Very detailed oriented with the ability to juggle multiple tasks effectively and efficiently.
- Confident and creative thinker who can quickly identify the end goal and who possesses the initiative and experience to achieve the desired result.
- Ability to manage details, deadlines, and follow-up across multiple priorities.
- Strong written and verbal communication skills.
- Sound judgment and discretion with confidential information.
- Strong proficiency with Microsoft Office (e.g., Word and PowerPoint with good working knowledge of Excel), Google Workspace, and collaboration tools.
- Expense tracking, document management, and process coordination skills.
- Ability to build effective working relationships with executives, teams, vendors, and stakeholders.
- Team mentality with a can-do attitude that seeks out opportunities to contribute.
- Resourcefulness and flexibility in a fast-paced environment.
- Bachelor's degree is preferred; equivalent relevant executive support experience may be considered.
- 5+ years of experience in executive support, operations, project coordination, or related administrative support.
- Experience managing sensitive information with professionalism and discretion.
- Experience coordinating executive calendars, travel, expenses, meetings, materials, and follow-up.
- Proficiency with Microsoft Office, Google Workspace, and related productivity tools.
- Strong organizational skills, attention to detail, and ability to manage multiple priorities accurately.
- Discreet, dependable, and professional.
- Highly organized and detail oriented.
- Helpful, collaborative, and service minded.
- Proactive in identifying needs and following through.
