Unburdn AI is a fast-growing AI transformation firm. We work with family offices and PE-backed small to mid-market businesses to help their teams actually use AI — via a high touch, white glove system providing strategy, training, and custom AI workflows built around their business goals.

The Client Experience Coordinator owns the operational backbone of every client engagement. You're the reason our delivery team walks into every session prepared, our clients feel taken care of at every touchpoint, and nothing falls through the cracks between the day a deal closes and the day an engagement wraps.

This is a white-glove service role that requires exceptional organization, proactive communication, and genuine ownership of the details. If you're energized by running a tight operation and making high-stakes experiences feel effortless, this is your seat.

What you'll do Client onboarding
  • Own the onboarding process from contract signature through the first session — kickoff emails, scheduling, portal access, and Notion setup.
Session coordination
  • Manage scheduling across the full engagement lifecycle: onboarding calls, workshops, vision sessions, reinforcement sessions, and roadmap reviews.
  • Handle all logistics end-to-end — calendar invites, Zoom links, logistics confirmation emails, and travel details for in-person sessions.
White-glove session prep
  • Produce a client brief before every session so the delivery team walks in fully prepared — who's in the room, what's been discussed, what matters to this client, and what's next.
  • Send pre-session emails to clients (what to expect, how to prepare, logistics) and distribute pre-workshop surveys with enough lead time for the team to use the results.
Notion and Slack ownership
  • Maintain Notion as the operational source of truth for every active engagement — session records, action items, invoices, and client context all live here and stay current.
  • Bridge Notion and Slack: the rest of the team works in Slack, and you make sure what matters gets captured, organized, and accessible in Notion.
Post-session follow-through
  • Draft recap emails and Slack channel updates after each session; update client Notion pages with next steps and open items.
  • Track invoicing milestones and coordinate with ops to make sure billing stays on schedule.
What we're looking for
  • 2–5 years in a coordinator, EA, client services, or operations role.
  • Exceptional written communication — your emails don't need editing.
  • Obsessive attention to detail and a bias toward closing the loop without being asked.
  • Strong calendar management across multiple stakeholders and time zones.
  • Comfortable in Notion, Slack, Google Calendar, and Zoom.
  • High EQ — our clients are sophisticated and they notice tone.
  • Proactive, Type A operating style — you flag problems before they become fires.

Familiarity with AI tools and experience in a consulting or agency environment are a plus. Curiosity about AI is a must.
