Job Summary:

- The Auxiliary Operation Coordinator serves as primary contact for the day-to-day operations of all Tivoli facilities, including activation, operations, safety/security, and maintenance/construction projects. These facilities include the Tivoli Student Union, Campus Auxiliary dispersed lounges, Food Service areas, and Food Trucks.

Essential Job Functions:

- Facility Maintenance & Operations:
Collaborate with directors, managers, and tenants on maintenance, construction, and repairs. Monitor facility conditions and perform quality checks for cleanliness, functionality, and compliance (HVAC, lighting, ADA, fire code). Coordinate with Facilities Services to schedule maintenance and repairs using TMA, minimizing disruptions. Serve as on-call contact for after-hours facility issues; assess situations and coordinate appropriate response. Project Management Communication & Coordination:
Develop and maintain clear communication processes to ensure timely, accurate information sharing. Serve as liaison among internal and external stakeholders (Facilities, IT, Marketing, vendors, contractors) to align projects and operations. Track timeliness, identify communication risks, and escalate issues to maintain progress and minimize disruption. Provide regular status updates to senior management and stakeholders, tailoring communication to different audiences. Communication & Coordination:
Provide timely, customer-focused communication with managers, tenants, vendors, and partners. Respond to issues and coordinate appropriate resolutions. Maintain accurate contract lists, phone rosters, and building directories. Communicate and reinforce building policies, procedures and operational updates. Security & Access Control:
Manage access control for tenants, contractors, and events; coordinate door schedules and partner with ACPD to maintain building safety. Conduct daily inspections to ensure building and vendor equipment security. Issue vendor parking permits and communicate parking guidelines. Administrative & Office Support:
Manage office equipment and coordinate repairs or replacements. Oversee ordering, tracking, and inventory of office supplies. Handle internal main distribution and serve as a courier for key departments (Business Services, Purchasing, HR). Vendor & Tenant Support:
Conduct sei-annual food vendor inspections and maintain records. Coordinate access for utility providers and manage vendor usage tracking. Manage furniture requests, including removal, storage, and cleanup. Maintain equipment directories for inventory and asset tracking. Create basic renderings for space planning and signage (way finding, marketing, menus). Building Services & Customer

Experience:

Oversee way finding and signage updates, including removal of outdated materials. Set up, coordinate, and inspect auxiliary lounges for safety and cleanliness. Support crowd/line management during peak periods using stanchions. Assist with campus lost and found collection and coordination.
