Senior Administrative Manager

Argus Event Staffing is a premier crowd management and security company based in Denver, Colorado. Founded in 2002, the company provides staffing and security services for major entertainment, sporting, and convention events throughout the Denver metropolitan area and other locations.

The Senior Administrative Manager supports the successful planning, staffing, execution, and closeout of events at Empower Field. This position serves as a bridge between administrative operations and event-day leadership by building staffing plans, maintaining accurate workforce records, coordinating with the client and internal departments, supporting team member readiness, and responding to changing operational needs. The role requires a hands-on, organized professional who can move comfortably between detailed office work and a fast-paced live event environment.

Essential Duties and Responsibilities
  • Work with the General Manager, client representatives, and internal partners to gather event details, staffing requirements, post needs, and event-day expectations.
  • Create events, staffing templates, schedules, and assignments in ABI or the designated workforce management system.
  • Develop and maintain staffing request forms, event documentation, post assignments, check-in materials, and other operational paperwork.
  • Monitor fill levels, identify staffing risks early, and communicate concerns and recommended solutions to the General Manager and appropriate HQ departments.
  • Coordinate scheduling activity with the EFMH Admin and HQ Lead Scheduler and schedule onboarding or training shifts for new team members.
  • Support event check-in and check-out, distribute required materials, confirm staffing deployment, and maintain accurate attendance records.
  • Brief team members(check-in) and leadership before events on assignments, expectations, client priorities in staffing, and staffing changes.
  • Monitor staffing levels, post coverage, employee performance, and changing venue conditions throughout the event.
  • Respond quickly to call-offs, gate or post changes, crowd-flow, weather impacts, client requests, and other time-sensitive personnel issues.
  • Escalate safety, employee relations, client, or operational concerns through the appropriate chain of command and document follow-up as required.
  • Participate in post-event debriefs and capture lessons learned for future events.
  • Serve as a reliable point of contact for team member scheduling and event questions, both on-site and during designated office hours.
  • Provide day-to-day direction, workload prioritization, coaching, and performance feedback to the Empower Field Administrator.
  • Set the tone for professionalism, accountability, customer service, and Argus standards through clear communication and personal example.
  • Support recruiting activities, including applicant coordination, interview scheduling, and candidate follow-up, as assigned.
  • Assist with new-hire, returning-team-member, venue-specific, and leadership training programs.
  • Document attendance, performance, and employee relations concerns accurately and communicate them to Human Resources and venue leadership.
  • Maintain accurate timekeeping records and submit event payroll information within required timelines.
  • Prepare, review, and submit event invoices and supporting documentation promptly and accurately.
  • Maintain organized digital and physical event files so another qualified team member can step in and understand the plan or run the event if needed.
  • Respond to calls and emails within established company expectations and maintain consistent communication with Operations, Scheduling, Human Resources, Accounting, Onboarding, and other HQ departments.
  • Perform administrative work at Empower Field or Argus HQ based on operational needs and leadership direction.
  • Complete other duties and special projects as assigned by the General Manager/Director of Admin Ops.
Minimum Qualifications
  • At least two years of experience in event operations, staffing, scheduling, administration, customer service, or a related field; a bachelor's degree may substitute for a portion of the experience.
  • Demonstrated ability to organize detailed work, manage competing deadlines, and maintain accuracy in a fast-paced environment.
  • Strong written, verbal, and interpersonal communication skills, including the ability to brief groups and communicate professionally with clients and senior leaders.
  • Proficiency with Microsoft Office or Google Workspace and the ability to learn scheduling, timekeeping, invoicing, and workforce management systems quickly.
  • Sound judgment, initiative, adaptability, and practical problem-solving ability during time-sensitive situations.
  • Availability to work evenings, weekends, holidays, extended event days, and a schedule that changes with the sports and entertainment calendar.
  • Ability to obtain and maintain all licenses and credentials required for the position, including a Denver Security Guard License.
