Position Summary

The Event Support Assistant provides on-site support for educational programs, workshops, conferences, and special events hosted by our organization. This role is ideal for a reliable, customer service-oriented undergraduate student who enjoys interacting with people and contributing to a welcoming event experience. The assistant will help ensure events run smoothly by assisting with guest services, registration, event logistics, and attendee engagement.

Essential Duties and Responsibilities

  • Welcome guests, attendees, speakers, and community partners in a friendly and professional manner.
  • Assist with event registration and check-in processes.
  • Hold doors, greet visitors, and help create a welcoming environment.
  • Direct foot traffic and provide way finding assistance to attendees throughout event spaces.
  • Set up and break down registration areas, signage, and event materials.
  • Distribute and create event materials, name badges, programs, and informational resources.
  • Monitor event spaces and communicate attendee needs to event staff.
  • Attend educational programs and events to better understand content and support participant engagement.
  • Assist staff with general event logistics and other duties as assigned.

Qualifications

Required

  • Strong interpersonal and communication skills.
  • Friendly, professional, and customer service-oriented demeanor.
  • Ability to follow directions and work independently when needed.
  • Dependable, punctual, and detail-oriented.
  • Ability to stand and walk for extended periods during events.

Preferred

  • Interest in community engagement, education, public health, or nonprofit work.
  • Experience working with diverse populations.

Physical Requirements

  • Ability to stand and walk for several hours during events.
  • Ability to lift and carry items weighing up to 20 pounds.
  • Ability to assist with event setup and teardown activities.

Schedule

  • Flexible hours based on class schedule and event needs.
  • Some evening or occasional weekend availability may be required.
  • Hours will be limited according to Federal Work-Study guidelines and available funding.
  • Gain hands-on experience in event coordination and guest services.
  • Develop professional communication and customer service skills.
  • Network with community members, professionals, and event presenters.
  • Learn about educational programming and community engagement initiatives.
