About the Role
The Trust Operations Administrator supports the Trust Operations team by providing subject‑matter expertise, management reporting, project management, and remediation of service‑related issues. The role focuses on executing strategic initiatives, metrics reporting, client escalations, and creating and updating team procedures and job aids. The administrator monitors workflows to ensure quality customer service and acts as an intermediary between Account Operations and Service/Sales.
Guidance is provided to team managers on process efficiency, reporting, and ongoing initiatives.
Key responsibilities also include understanding and adhering to trust regulations and security standards such as the customer identification program, the Gramm‑Leach‑Bliley Act, Bank Secrecy Act, Internal Revenue Code, and other applicable banking and trust regulations. The role represents the team professionally, supports managers in overseeing Salesforce queues, improves Salesforce reporting and workflows, and provides management reporting to the director and team leaders.
Delegated authority includes quality control review and approval of cash transactions. The administrator conducts data analysis, compiles documentation, runs reports, reviews account data, identifies trends, and recommends improvements. Additionally, the role participates in strategic initiative development, assesses client escalations, offers solutions, seeks efficiencies, reviews procedures, manages relationships with internal and external partners, and partners with Sales and Relationship Management on high net worth client transactions.
- Bachelor’s degree in a related field or equivalent financial services experience required.
- 7+ years of financial services experience in securities processing or asset servicing required.
- 3–5 years of alternative asset experience, including trust and/or custody practices, required.
- 1–2 years of leadership experience leading a team of employees in a financial services role with responsibility for complex or escalated workflows.
- Certified IRA Services Professional (CISP) preferred.
- Self‑Directed IRA Industry Professional (SDIP) preferred.
- Comprehensive knowledge of best practices related to client service and financial services industry compliance requirements.
- Knowledge of alternative investment assets and retirement account servicing.
- Experience providing services for high net worth clients, investment sponsors, influential persons, financial advisors, B2B relationships, and related business lines.
- Highly organized with ability to handle multiple complex projects involving internal and external stakeholders.
- Excellent organizational, time management, and problem‑solving skills.
- Strong verbal and written communication skills with ability to convey detailed information and instructions clearly.
- Ability to handle complex problems involving multiple facets and variables in non‑standardized situations.
- Proven ability to gather, assemble, correlate, analyze data and reporting and develop solutions.
- Strong customer service skills and cross‑departmental communication with key internal stakeholders.
Pay range: $77,767 – $106,000. Compensation depends on job‑related knowledge, skills, experience, education, and geographic location. The role may be eligible for performance‑based incentive compensation; details provided during the recruitment process.
