Payroll Operations & Reporting Specialist
We’re currently partnering with an organization seeking a Payroll Operations & Reporting Specialist to support day-to-day payroll operations, reporting, and compliance efforts. This role focuses on ensuring payroll data accuracy, supporting reconciliations, and maintaining consistency across processes in a multi-state environment.
This position will work cross-functionally with internal teams and external providers to help ensure payroll is processed accurately and in compliance with applicable regulations.
Key Responsibilities- Review payroll activity across multiple pay cycles for accuracy and completeness
- Analyze payroll transactions, including earnings, deductions, and adjustments
- Research and resolve discrepancies in partnership with internal stakeholders
- Perform reconciliations across payroll-related accounts, including taxes, liabilities, and general ledger tie‑outs
- Support close activities by preparing and validating payroll-related reporting
- Assist with compliance requirements, including audits and regulatory reporting
- Partner with external payroll providers to ensure smooth processing and issue resolution
- Help maintain and improve documentation, controls, and standard operating procedures
- Contribute to process improvements and system updates or enhancements
- 3+ years of experience in payroll, operations, or a related function
- Solid understanding of payroll processes, controls, and reconciliations
- Hands‑on experience with payroll tax processes, including withholding, reporting, and filings
- Exposure to multi‑state payroll tax compliance and regulatory requirements
- Experience researching and resolving payroll tax discrepancies or notices
- Familiarity with quarterly and year‑end payroll tax reporting (e.g., W‑2s, 941s, state filings)
- Strong analytical mindset with the ability to work through complex data issues
- Advanced Excel skills and comfort working with large data sets
- Strong communication skills in cross‑functional environments
- Experience with payroll or HRIS platforms (Workday, ADP, or similar)
- Exposure to tax audits or agency correspondence resolution
- Experience supporting process improvement or system optimization initiatives
