You will work across multiple work streams, collaborating with internal teams, contractors, and vendors to keep projects organized, compliant, and moving forward efficiently. Responsibilities Project Coordination & Documentation
- Support project initiation processes, including setup, planning, and financial approval routing
- Create and maintain organized project documentation and files with consistent structure and naming conventions
- Generate mapping files (e.g., KMZ) to support project planning and field execution
- Manage document repositories, permissions, and access control to support project teams
- Assist with reconciliation activities by validating data, documentation, and financial alignment
- Prepare and verify work packets in collaboration with internal teams
- Onboard new contractors, including system access, training requirements, and setup
- Troubleshoot system access issues (e.g., SharePoint, SAP)
- Ensure vendor compliance with training and regulatory requirements
- Coordinate vendor project assignments and confirm required documentation and materials
- Process purchase requisitions (PRs), purchase orders (POs), and invoicing activities (SES)
- Support material ordering and supply coordination
- Maintain accurate records for audits, reporting, and compliance needs
- Assist with reporting and documentation updates
- Follow established processes while identifying opportunities to improve efficiency and consistency
- Support workflow standardization and documentation improvements
- Participate in safety-related documentation, audits, or reviews as needed
- Build effective relationships with internal teams, contractors, and vendors
- Communicate clearly and proactively to support project coordination
- Collaborate across teams to resolve issues and align on project expectations
- Minimum 3 years of experience in operations, project coordination, finance, technology, or related fields
- Associate s degree in engineering, construction, business, IT, or related field (or equivalent experience)
- 1 3 years of experience supporting project coordination or project management activities
- Strong communication skills (verbal and written) with ability to work cross-functionally
- Strong organizational and time management skills in a fast-paced environment
- Basic knowledge of project planning and process workflows
- Proficiency in Microsoft Office and standard business tools
- Experience in utility, construction, or field operations environments
- Familiarity with SAP, SharePoint, Google Earth, or similar systems
- Experience supporting procurement processes (PRs, POs, invoicing)
- Experience with vendor coordination, contractor onboarding, or compliance activities
- Exposure to process improvement or workflow optimization initiatives
- Ability to build strong relationships across internal teams and external partners
