Position OverviewThe Purchasing and Warehouse Operations Manager (PWM) is responsible for sourcing supplies, generating and tracking purchase orders, managing inventory, and managing vendors. The PWM supports the bidding/estimating process to secure specialty services and materials. He/she ensures the company’s expectations for costs, quality and the timely delivery of equipment, parts, and materials are met. The PWM is also responsible for managing the company’s warehouse operations, including maintenance and tracking of company‑owned materials and property, and delivery of materials and supplies to job sites.
PrimaryResponsibilities
- Prepare and process requisitions and purchase orders for supplies and equipment. Maintain records of all supplies and equipment ordered and received.
- Navigate project folders and the accounting system (Sage Contractor 100) to retrieve quotes and purchase order supporting documents.
- Analyze existing budgets to determine proper cost coding for POs.
- Create concise and accurate POs using Sage software.
- Ensure POs and subcontracts are properly executed, and that terms and conditions are met.
- Process fully executed POs and subcontracts in project folders.
- Communicate with field superintendents, project managers, contractors, and vendors as required to ensure PO terms are met.
- Coordinate with field superintendents and PMs to ensure POs are accurately cost‑coded prior to issuance.
- Initiate and process PO change orders as required.
- Arrange transport of goods and track orders to ensure timely delivery. Communicate delays and extended lead‑times on materials to appropriate parties.
- Assess quality of materials received and elevate any discrepancies to suppliers and management.
- Review purchase order claims for conformance to company policy.
- Participate in the development of specifications for equipment, products, or substitute materials.
- Analyze market trends and apply this knowledge to make insightful buying decisions.
- Work with all departments to forecast the needs of the business and make purchasing decisions based on demand and control purchasing department budgets.
- Strengthen and develop vendor relationships; review and address pricing with current vendors/suppliers; resolve vendor grievances and claims against suppliers.
- Locate vendors for materials, equipment or supplies, and interview them to determine product availability and terms of sales.
- Maintain Sage parts database with pricing, updated items and cost codes and communicate pricing changes to estimating and PM teams.
- Train and assist PM/PE teams with master PO input and creation.
- Provide equipment rental reports to PM/PE teams.
- Oversee and manage the company’s warehouse operations, including inventory and maintenance of company‑owned materials, equipment and property, and delivery of materials to job sites.
- Manage leadership of direct report team including warehouse associates, mechanics and delivery drivers.
- High school diploma or GED required. A minimum of 3 years of related purchasing experience (or training) is required, or some combination of education and experience.
- Comprehensive understanding of MS Excel, MS Word, and MS Outlook.
- Experience in Sage construction management software is preferred.
- Highly organized and detail‑oriented.
- Highly effective verbal and written communication skills.
- Knowledge of the commercial drywall and painting construction industry is preferred.
- Customer service orientation for internal and external customers.
- Strong negotiation skills and an ability to use sound judgment and maintain confidentiality.
