The Justice and Mercy Legal Aid Center (JAMLAC) is a faith-based non-profit charitable organization (501c3) that provides full civil legal representation for family law, immigration law, and limited civil matters. Our mission is to seek justice for people who are struggling with poverty and oppression in a way that affirms their dignity and strengthens their capacity to positively direct their own lives.
As a member of the JAMLAC team, this position will support the work of JAMLAC by executing the organization’s events and assisting with other development tasks.
Primary Responsibilities Large Fundraising EventsCoordinate and execute all aspects of fundraising events. Attend all or most events as needed. Responsibilities include, but are not limited to:
- Oversee event logistics: secure venue, acquire auction items, coordinate décor, beverage service, rentals, signage, event setup, and more.
- Manage guest relations: design and mail invitations, promote events online/website, manage RSVPs and registration, coordinate sponsor tables, and ensure guests are entered into the database.
- Engage volunteers: collaborate with the Pro Bono Coordinator to effectively utilize volunteers.
- Support event messaging: work with sponsors, speakers, communication director, and hosts to ensure consistent communication and branding.
- Create event programming and speeches: partner with development staff and leadership to create themes/message and order awards if needed.
- Secure event sponsors and ensure appropriate recognition and stewardship.
- Maintain event budgets: monitor expenses and track progress toward revenue goals.
- Handle pre‑event and day‑of tasks: order supplies, request invoice payments, communicate with vendors and caterers, coordinate food and beverages, prepare signage and brochures, manage tablecloths and other materials.
- Manage post‑event follow‑up: send in‑kind and donation receipts, clean and store event materials, distribute auction items to winners, make thank‑you calls, and enter guests into the CRM.
Smaller gatherings and events include, but are not limited to: breakfasts, coffee gatherings, tours, educational speakers, women’s lunches, immigration gatherings/webinars, volunteer and donor appreciation events, corporate luncheons, staff lunches/events, and other as needed.
Responsibilities include:
- Oversee logistics for small events, including venue coordination, catering, beverages, rentals, décor, registration, and virtual meeting links.
- Communicate with staff and constituents regarding upcoming gatherings and event details.
- Promote events across various platforms and personally invite key constituents.
- Utilize and manage volunteers as needed for event support.
- Provide administrative assistance for speakers, guests, and presenters.
- Create event flyers and communication materials as needed.
- Follow up: send follow‑up communication, add guest to CRM, etc.
- Participate in donor appreciation calls and thank you notes.
- Assist with mailings when needed.
- Assist in coordinating meetings with donors/volunteers/businesses.
- Help maintain donor database system including adding new donors, donor notes and contact information updates.
- Network within the community to identify potential strategic partnerships and build awareness of JAMLAC.
- Identify segments of current and potential donors to be targeted for special events.
- Contribute to JAMLAC’s communication strategy: e‑newsletters, social media content, events announcements, sponsors and business partners; donor appreciation messages; and other posts as needed.
- Assist with development interns and volunteers.
- Provide administrative assistance as needed.
- Effectively communicate the mission and vision of JAMLAC through a variety of communication means.
- Inspire a philosophy of transformational giving and a culture of generosity.
- 2+ years of experience with planning and executing events, including coordinating large fundraisers.
- Very organized and detail oriented.
- Meets deadlines and can coordinate and track calendars and timelines.
- Excellent computer skills and familiar with database input.
