Key Responsibilities Communication & Information Flow
  • Inbox Monitoring: Manage company communication channels during business hours and conduct light, structured off‑hours monitoring for urgent items (fully compensated).
  • Staff Correspondence: Maintain open lines with field technicians and distribute a daily evening update with schedules, routes, and job notes.
  • Inbound/Outbound Routing: Direct incoming client calls, texts, and emails to the right team members and track unresolved items.
  • Operational Reporting: Submit clear daily, weekly, and monthly summaries of completed tasks, schedules, and critical updates.
Daily Job Monitoring & Technician Support
  • Real‑Time Tracking: Observe active jobs and track technician schedules to ensure timely arrivals and smooth completions.
  • Route Flow Management: Identify job delays in real time and evaluate how they impact the rest of the day's schedule.
  • Proactive Alerts: Keep management, staff, and clients updated regarding any potential schedule conflicts or timing changes.
  • Schedule Adjustments: Modify schedules on the fly for cancellations or extensions, and document recurring route issues.
Customer Relations & Sales Support
  • Client Care: Professionally handle client inquiries, scheduling requests, and service complaints.
  • Growth Support: Field inbound sales opportunities, nurture pipeline leads, and run outbound follow‑up campaigns.
  • Rate Adjustments: Review underpaying accounts, communicate rate adjustments using company talking points, and track retention.
Office Operations & Employee Relations
  • Inventory Control: Track physical office inventory and submit timely purchase orders to prevent supply shortages.
  • Logistical Support: Maintain standard operating procedures (SOPs), organize physical job binders, and manage basic facility needs.
  • Culture & Engagement: Log employee attendance, help schedule reviews, track milestones (birthdays/anniversaries), and prepare meeting agendas.
