CRM Systems & Management, Appointment Setter/ Scheduler, Sales Administrator
Compensation: USD $800 – $1,400/month based on experience
About the RoleWe're looking for an organized, detail-driven person to become the engine behind the scenes of our sales process. You'll keep our sales pipeline clean, moving, and fully documented, making sure no opportunity, client, or piece of paperwork ever falls through the cracks.
This is a sales operations and administrative support role
, not a marketing role. The person in this position will be the one who owns our CRM day to day, supports client follow-up and outreach, and handles the administrative work that keeps our sales process running smoothly.
No prior experience in a specific CRM tool is required, what we value most is real hands‑on experience keeping a sales process organized, attention to detail, and a proactive, resourceful mindset.
What You'll Do- Own the day-to-day management of our CRM (Pipedrive): update records, move deals through stages, and log notes from sales calls
- Audit the CRM regularly to make sure everything is accurate and up to date
- Prepare and send client documentation: contracts, engagement letters, and proposals, once a deal is ready to move forward
- Support client communication and follow-up by email (written communication only, no phone calls with clients)
- Research target companies and contacts, and support outbound prospecting and outreach efforts
- Help build and maintain prospect lists by industry/region
- Write light marketing content (Linked In posts, email campaigns) as a smaller part of the role
- 1–3 years of experience in a sales support, sales operations, administrative, or CRM-focused role
- Real, hands-on experience with a CRM (Pipedrive, Hub Spot, Salesforce, or similar), moving records through stages, keeping data accurate, not just occasional use
- Experience preparing or handling business documentation (contracts, proposals, invoices, or similar)
- Excelent English skills
: comfortable processing information and writing clear, professional emails - High attention to detail: information has to be entered correctly, or it creates a mess
- Proactive and resourceful: comfortable figuring things out and asking the right questions rather than waiting for direction
- Comfortable in a small, fast-changing environment without rigid processes,
ideally with experience at a small or lean team, not only large corporate structures - Low ego, good sense of humor, excited to be part of a growing team
- Open to candidates anywhere in LATAM
, as long as you can align your schedule with Pacific Time - A Predictive Index assessment is part of the hiring process
- 5 hours per day
, with room to grow in hours and responsibilities as the team scales
