Receiving Specialist
The Receiving Specialist is responsible for accurately receiving, inspecting, documenting, and coordinating incoming materials to support inventory accuracy and efficient warehouse operations. This role serves as a critical first point of control for inbound inventory by ensuring physical materials match purchase orders, bills of lading, packing slips, and system records before products are released for stocking or production. Working closely with Purchasing, Warehouse, Inventory Control, Operations, vendors, and freight carriers, the Receiving Specialist identifies and resolves shipment discrepancies, maintains accurate ERP/WMS transactions, and ensures materials move efficiently from dock arrival through staging and put-away.
The ideal candidate is highly detail-oriented, methodical, safety-conscious, and comfortable balancing hands-on material handling with accurate system and documentation work.
Responsibilities include:
- Receive and process incoming vendor shipments, LTL freight, parcel deliveries, transfers, and other inbound materials
- Safely unload incoming shipments using forklifts, pallet jacks, reach trucks, or other approved material-handling equipment
- Verify physical product counts against purchase orders, bills of lading, packing slips, and other receiving documentation
- Confirm product descriptions, quantities, labels, and other shipment information before completing receiving transactions
- Identify shortages, overages, incorrect materials, or missing documentation and communicate discrepancies promptly
- Ensure inbound materials are processed accurately and efficiently to support timely inventory availability
- Visually inspect incoming materials for shipping damage, product condition, labeling, and specification compliance
- Identify damaged, incorrect, or nonconforming materials before they are released into available inventory
- Document receiving discrepancies and product damage accurately
- Separate, label, and stage damaged or nonconforming materials according to company procedures
- Coordinate returns, claims, or other exception-handling processes with Purchasing, vendors, and Operations as required
- Help prevent inaccurate or damaged inventory from entering available stock
- Accurately process receiving transactions within company ERP, WMS, inventory, or business management systems
- Ensure receiving information is entered promptly to maintain accurate inventory visibility
- Verify purchase order information and resolve discrepancies before finalizing transactions
- Utilize RF scanners, computers, and other inventory technology to process and track materials
- Maintain accurate receiving records, documentation, and supporting paperwork
- Assist with inventory reconciliation and research receiving-related discrepancies as needed
- Support cycle counts and other inventory-control activities when required
- Label, tag, organize, stage, and prepare received materials for efficient put-away
- Coordinate with Warehouse personnel to ensure incoming inventory is moved promptly to designated storage locations
- Maintain clear and organized receiving and staging areas to prevent congestion or material confusion
- Prioritize inbound materials based on production, customer, inventory, and operational requirements
- Communicate high-priority or time-sensitive receipts to appropriate departments
- Support efficient material flow from receiving through warehouse storage, production, or order fulfillment
- Communicate professionally with freight drivers, vendors, Purchasing, Warehouse, and Operations personnel
- Coordinate with Purchasing to resolve shortages, incorrect shipments, damaged products, or missing documentation
- Communicate receiving discrepancies promptly so corrective action can be initiated
- Assist with freight claims, return authorizations, and vendor-related documentation as required
- Maintain professional working relationships with delivery drivers, suppliers, and internal partners
- Assist with stocking, material movement, inventory organization, and general warehouse activities as needed
- Support Warehouse and Operations teams during high-volume receiving periods
- Help maintain accurate product identification and storage throughout the facility
- Identify opportunities to improve receiving accuracy, material flow, and operational efficiency
- Perform additional warehouse and operational duties as assigned
- Follow all company safety policies, OSHA requirements, and PPE standards
- Safely operate forklifts and other material-handling equipment when trained and authorized
- Maintain a clean, organized, and hazard-free receiving dock and staging area
- Follow established 5S or workplace organization practices where applicable
- Identify and report unsafe conditions, damaged equipment, accidents, injuries, or near misses
- Participate in required safety meetings, training, and continuous improvement initiatives
