This role supports a fast-paced professional services environment by managing administrative, client service, and workflow coordination tasks. The position plays a key role in keeping daily operations organized, supporting seasonal workloads, and ensuring a smooth experience for both clients and internal teams.

RESPONSIBILITIES

  • Coordinate and track document workflows, including preparation, assembly, filing, and status monitoring.
  • Serve as a primary point of contact for clients by requesting documentation, responding to inquiries, and providing updates.
  • Prepare invoices, post payments, and assist with maintaining accurate billing records.
  • Maintain and update internal databases while ensuring confidentiality and data accuracy.
  • Scan, organize, and store digital and physical records in a consistent and searchable format.
  • Provide general administrative and scheduling support to ensure smooth day-to-day operations.

QUALIFICATIONS

  • Strong proficiency with Microsoft Office tools, particularly Excel, and PDF editing software.
  • Excellent organizational, communication, and attention-to-detail skills.
  • Comfort working in a deadline-driven, high-volume environment.
  • Prior experience supporting accounting, tax, or professional services teams is preferred.
  • Exposure to invoicing, accounts receivable/payable, or financial terminology is a plus.
  • Associate’s or Bachelor’s degree preferred.
