Billing Coordinator

Are you a detail-oriented billing professional who enjoys working in a fast-paced, collaborative environment? We're seeking a Billing Coordinator to support a growing engineering consulting firm. In this role, you'll play a key part in ensuring accurate project setup, contract compliance, and timely client billing.

What You'll Do- Review project proposals and contracts to ensure accurate project setup and registration.
- Verify billing requirements, budgets, rates, payment terms, contract details, and project information.
- Assist with project openings, closings, and ongoing budget maintenance.
- Monitor project budgets and change orders, communicating potential issues with Project Managers.
- Prepare timely and accurate invoices in accordance with client contracts and established billing cycles.
- Review project documentation to ensure revenue recognition requirements are met.
- Prepare complete invoice packages, including cover letters, applications for payment, lien waivers, and other required supporting documentation.
- Distribute invoices through client portals, email, and other approved delivery methods.
- Maintain accurate project and billing records while ensuring compliance with company policies and accounting standards.
- Partner with Project Managers and internal teams to resolve billing questions and provide exceptional internal and external customer service.
- High school diploma or equivalent required.
- Minimum of 3 years of billing, project accounting, or related experience.
- Ability to read and interpret contracts and apply billing requirements accurately.
- Strong attention to detail and organizational skills.
- Excellent communication and customer service skills.
- Ability to prioritize multiple deadlines in a fast-paced environment.
- Experience with project accounting, engineering, construction, architecture, or professional services is highly preferred.
