Support the Mission Behind the Scenes

Do you thrive on organization, communication, and keeping things running smoothly behind the scenes? As an Administrative Assistant at the Animal Rescue League of Iowa (ARL), you’ll play an essential role in supporting organizational leadership and helping advance the mission through high-level administrative coordination and day-to-day operational support.

This position is ideal for someone who is detail-oriented, proactive, adaptable, and able to balance multiple priorities while maintaining professionalism and confidentiality in a fast-paced environment.

What You’ll Do

In this role, you will provide administrative and organizational support primarily to the CEO, Executive Director, and Director of Development and Communications, while also assisting other members of the leadership team as needed. You’ll manage calendars, coordinate meetings and travel arrangements, track upcoming commitments, and help ensure daily operations run efficiently and smoothly.

Communication will be a key part of your work. You’ll answer and screen calls professionally, relay messages, prepare correspondence, and assist with creating polished documents, presentations, reports, and meeting materials. You’ll also coordinate meetings and events by preparing agendas, reserving spaces, recording minutes, and ensuring all materials are organized and distributed appropriately.

You’ll support fundraising and development efforts through administrative assistance with donor stewardship, grant reporting, campaign support, mailings, and event preparation, including assisting with ARL’s largest annual fundraising event. Attention to detail and organization will be especially important as you maintain filing systems, spreadsheets, reports, and confidential records.

This role also requires initiative and problem‑solving. You’ll help coordinate projects, monitor progress and deadlines, assist with invoice approvals and reporting, and provide basic technology troubleshooting support for phones and computers when needed. Throughout all aspects of the role, you’ll serve as a professional and reliable point of support for leadership, staff, donors, and community partners.

What You Bring

You bring exceptional organizational skills, strong written and verbal communication abilities, and a high level of professionalism. You are comfortable handling confidential information with discretion and can successfully manage multiple priorities in a fast‑paced environment.

This role requires a high school diploma or GED, while additional education in a related field is preferred. Previous administrative experience is strongly preferred, particularly in roles involving scheduling, reporting, customer service, or executive support.

You should be highly detail‑oriented with accurate typing, strong spelling and grammar skills, and proficiency in Microsoft Office. Experience with budgeting or fundraising support is a plus. Strong interpersonal skills, problem‑solving abilities, and a collaborative mindset are essential for success in this role.

A valid driver’s license with a satisfactory driving record is required.

Working Conditions

This position requires the ability to lift up to 50 pounds and may occasionally involve working outdoors in varying weather conditions or assisting at organizational events. The work environment may include exposure to animals, animal‑related odors, noise, dander, waste, and the possibility of scratches or bites. Extended periods of sitting, standing, and computer work are also expected.
