Key Responsibilities

  • Invoice Management:
    Generate, review, and send invoices to clients with accurate details of the itemized cost of services provided to the client in a timely manner. Monitors outstanding invoices to ensure timely payment.
  • Client Service:
    Serves as a point of contact for client inquiries regarding invoices and services. Addresses and resolves any billing issues or discrepancies in a timely manner. Maintain positive relationships with clients through effective communication and support.
  • Administrative Support:
    Assists with the daily administrative operations. Supports various departmental projects by conducting research, gathering data, and compiling information. Responsible for administrative tasks such as processing branch payroll, assisting with accounts receivable, and collections.
  • Documentation and Record-Keeping:
    Handles confidential and sensitive information with discretion to maintain accurate and organized records of all invoices, payments, and client interactions. Ensures data accuracy, integrity, and easy accessibility for audits and reviews.
  • Collections:
    Tracks open accounts receivable and contacts clients on past due accounts for the Branch. Maintains thorough notes regarding communications with the client in the system. Generates and mails accounts receivables statements monthly. Researches and resolves any rejected or disputed invoices.
  • Additional Responsibilities:
    Performs other duties as assigned.
  • Proficient organizational skills and attention to detail
  • Cross-collaboration to resolve internal and external concerns
  • Strong computer skills with Microsoft Office (Word, Excel, Outlook)
  • Basic understanding of accounting concepts
  • Good data entry skills
  • Ability to manage a large number of diverse tasks and day to day work flow efficiently
  • Excellent phone and written communication
