Position: Program Support Assistant (OA)

Summary

The Program Support Assistant (OA) is located within the Nutrition and Food Services Department (N&FS) of the Veterans Health Administration (VHA). The person in this position serves as the Program Support Assistant (OA) to the N&FS Administrative Officer, providing a wide variety of administrative, clerical, and technical support.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of the announcement (07/06/2026). Typing proficiency is required; you must type at least 40 words per minute. To qualify for the role at the GS‑6 level you must possess the following: one (1) full year of specialized experience that equipped you with the knowledge, skills, and abilities to successfully perform the duties of a Program Support Assistant at the GS‑6 level.

The experience must be equivalent to at least the next lower grade level (GS‑5) in the Federal service.

  • Specialized experience in responsibilities such as collecting, compiling, and tracking data and information; processing documents and reports; establishing, updating, and maintaining office files and records; performing automation duties using software applications such as word processing, spreadsheet, electronic mail, desktop publishing, calendar, database, and/or graphics; answering telephones, referring visitors, and providing information.
  • Experience must be fully documented on your resume, including job title, duties, month and year start/end dates, and hours worked per week.

Physical demands:
The work area is an adequately lighted, heated, and ventilated office in a medical facility setting. The position involves a sedentary schedule with occasional walking, standing, bending, carrying, and/or lifting of light items. Keyboarding will be performed to prepare correspondence.

The work is performed in a typical office setting, requiring normal safety precautions. The work area is adequately lighted, heated, and ventilated.

Duties
  • Collect, compile, and/or track data and statistical information.
  • Organize data into Access databases or spreadsheet formats.
  • Prepare recurring and nonrecurring correspondence, reports, and other documents.
  • Establish, update, and maintain office files and records.
  • Keep and type meeting minutes, agendas, and reports.
  • Prepare, execute, and/or track program‑specific information.
  • Perform office automation duties using word processing, spreadsheet, electronic mail, desktop publishing, calendar, database, and/or graphics.
  • Use spreadsheet software to develop and change spreadsheets to graphically display data.
  • Schedule nutrition clinic appointments, prepare appointment confirmation letters, and enter appointment data.
  • Provide clerical support such as answering the telephone, referring visitors, or providing information about the office, its functions, and standard operating procedures.
  • Maintain the appointment calendar, schedule appointments, remind supervisors and staff members of meetings, and make administrative arrangements as required.
  • Edit letters, compose letters and reports, review correspondence for accuracy and completeness, prepare public presentation outlines and meeting minutes, develop standard or form letters, and reply to inquiries.
  • Serve as official timekeeper—notify supervisors when leave limits are exceeded, post staff time and attendance, and process timecards.
  • Perform other related duties as assigned.

Work schedule: Full Time – Monday through Friday, 7:30 am to 4:00 pm.
