Sales Support Administrator

The Sales Support Administrator provides comprehensive administrative and customer support to a team of account managers, ensuring accurate order processing, timely follow-up, and high-quality service. This role offers exposure to sales operations and logistics and serves as a strong stepping stone toward future account management or sales opportunities within a large organization that operates with a close-knit, small-team environment.

Responsibilities
  • Support three primary account managers with day-to-day customer needs and assist additional account managers as required based on workload.
  • Enter customer orders and quotes into the computer system with a high level of accuracy and attention to detail.
  • Process Return Authorizations and ensure all related documentation is complete and properly recorded.
  • Research and follow up on customer orders, providing status updates and resolving issues promptly.
  • Make occasional phone calls to supplier partners, corporate office teams, and customers to provide back-office support and clarify order-related information.
  • Obtain Proof of Delivery documents from customers and ensure open order reports are current and accurate.
  • Work extensively in Microsoft Excel for order entry and reporting purposes, including updating spreadsheets and generating basic reports.
  • Perform general clerical and administrative tasks such as email and phone correspondence, filing, and maintaining organized records.
  • Conduct research on products that are not currently included in the sales portfolio to support sales opportunities and customer inquiries.
  • Enter, process, and maintain quality event records, ensuring that all quality-related information is accurately documented and updated.
  • Follow up with customers regarding accounts receivable matters as needed, supporting the team in maintaining timely payments and resolving billing questions.
  • Provide professional, courteous customer service and sales support, including handling inbound and outbound calls related to orders, products, and account inquiries.
Essential Skills
  • Previous sales experience, including retail sales, for at least 1 year.
  • Experience working with the general public in a customer-facing role.
  • Strong computer skills with the ability to navigate multiple screens and systems for at least 1 year.
  • Proficient Microsoft Excel experience for at least 2 years, including regular use for data entry and reporting.
  • Administrative and order entry experience for at least 1 year, with demonstrated accuracy in processing information.
  • Strong attention to detail in prior roles for at least 1 year, particularly in handling orders, records, and documentation.
  • Comfort with entering, processing, and maintaining quality records in a structured system.
  • Customer service skills with the ability to handle phone-based work and basic sales-related conversations confidently.

  • Background in sales support or customer support in an office or retail environment.
  • Experience with administrative support tasks such as email management, phone correspondence, and filing.
  • Familiarity with order entry, order processing, and proof-of-delivery procedures.
  • Ability to manage multiple tasks simultaneously while maintaining accuracy and organization.

Work Environment

This role is 100% on-site in a small office environment, supporting a team of sales professionals within a larger corporate structure. Initial training is conducted virtually, after which all work is performed on-site. The position follows a first-shift schedule, Monday through Friday, from 8:00 a.m. to 4:30 p.m., totaling 40 hours per week. The environment emphasizes collaboration, growth, and learning, offering exposure to sales operations, logistics, and customer interactions in a professional office setting.
