Heritage Building Maintenance Payroll Specialist WageThis will be a salary, exempt position. Annual salary will be between $52,000-$57,000, based on qualifications and experience
ScheduleSchedule may vary based on business need. This position is considered a 40 hours per week position. Flexibility with schedule is possible.
Position SummaryThe Payroll Specialist reports directly to the Director of Human Resources and is responsible for processing biweekly payroll through the Rippling platform with complete accuracy and strict adherence to deadlines. This role manages time reports, wage garnishments, benefits administration, and compliance requirements across multiple systems. The ideal candidate thrives on precision, manages their own workflow with minimal oversight, and delivers error-free results within tight time frames.

- Process biweekly payroll accurately and on time through the Rippling platform.
- Review, validate, and reconcile time and attendance reports; research and resolve discrepancies promptly.
- Enter and maintain employee data (onboarding, scheduling, benefits, terminations) across multiple platforms with zero tolerance for error.
- Administer payroll items including wage garnishments, bonuses, commissions, mileage reimbursements, and other approved payments or deductions.
- Manage benefits-related payroll functions, ensuring accurate deductions and enrollment data.
- Create and maintain tracking spreadsheets for hours, payments, and compliance documentation.
- Respond to employee payroll inquiries with professionalism, discretion, and a service-first mindset.
- Maintain payroll records and support HR recordkeeping functions.
- Ensure compliance with internal policies and all applicable federal and state payroll regulations.
- Partner with HR and management to identify and implement process improvements.
- Complete other related duties as assigned.
- Payroll processing experience required; experience with Rippling or similar HRIS/payroll platform strongly preferred.
- Exceptional attention to detail with a proven track record of accurate, error-free data entry.
- Demonstrated ability to self-manage workload, prioritize competing deadlines, and deliver results within concise time frames.
- Strong organization, follow-through, and the flexibility to shift focus as priorities change.
- Proficiency working across multiple platforms and systems simultaneously.
- Clear, professional verbal and written communication skills.
- Proficiency with Microsoft Office, particularly Excel/spreadsheets.
- Knowledge of payroll law, wage and hour regulations, and compliance requirements preferred.
- Business-minded approach to cost awareness, efficiency, and process improvement.
- Ability to work independently while collaborating effectively with HR and leadership.
- Spanish language skills are a strong plus.
- At least 18 years of age.
