Position: Program Specialist 3 - Donor Database Management, Foundation

Overview

Program Specialist 3 - Donor Database Management, Foundation. Posting will remain open until filled. Priority screening date for application received by Feb 22, 2026.

The Program Specialist 3 position supports the college Foundation in a variety of complex duties and assignments, including managing the existing donor database and migrating to a new donor management platform. This position will report to the Director of Philanthropy and will be part of a team supporting Foundation events and activities under Institutional Advancement. The role helps engage donors and community supporters to increase scholarships and assist students in achieving their goals.

The specialist may have contact with clients, the public, staff, students and faculty and must demonstrate excellent customer service.

This is a classified full-time position eligible for overtime. Work schedule is Monday through Friday; some evening and weekend hours may be required.

Responsibilities
  • Work in collaboration with Foundation Development staff to support fundraising through donor database management – 50% of time.
  • Primary manager of the Foundation donor database.
  • Maintain up-to-date database information: current addresses, updated personal information, removal of duplicate records, and standard data-entry procedures.
  • Maintain pledge logs, and send billings to donors when gift pledges are part of the donor commitment process.
  • Provide ongoing training opportunities to Advancement staff and Development Officers on the moves management system and related prospect development functions as a Subject Matter Expert (SME).
  • Design and implement moves management system aligned with strategic planning and team guidelines.
  • Manage information for prospect relationship data in the CRM and reporting of prospect management systems.
  • Collaborate with development staff to research within the database and manage prospect assignments to support fundraising efforts.
  • Monitor fundraising performance through management of contacts, strategy plans, solicitation pipelines, and performance metrics; ensure data accuracy and timeliness for revenue forecasting and performance management.
  • Produce or customize acknowledgement letters to donors, including those for pledge commitments.
  • Generate segmented mailing lists for fundraising appeals.
Responsibilities (Foundation Events)
  • Provide support for Foundation Events – 25%: under leadership of the Director of Philanthropy and in conjunction with other foundation staff.
  • Event support, including serving on event committee; planning/logistics, vendor contacts, and supply ordering.
  • Day-of participation in set up, decorations, tear down and clean up.
  • Support post-event acknowledgements to attendees, donors and sponsors.
Responsibilities (Fund Development Activities)
  • Provide support for fund development activities such as direct mail, donor reports and online and social media appeals – 25%.
  • Provide updated mailing lists for events, direct mail and other printed publications.
  • Provide updated distribution lists for electronic communications and solicitations.
  • Provide data for social media targeting in online campaigns to support events and fundraisers.
Qualifications

MINIMUM:

  • Bachelor's degree; AND
  • Two years of experience including planning, policy analysis, coordination and consultation with public/private agencies, organizations, and/or levels of government OR equivalent education/experience; OR
  • Four years of experience including planning, policy analysis, coordination and consultation with public/private agencies, organizations, and/or levels of government OR equivalent education/experience.
