Accounts Receivable Clerk

Description

We are looking for an Accounts Receivable Clerk to support collections and outstanding invoice follow-ups for a laboratory testing organization in Mount Prospect, Illinois. The role will focus on contacting customers regarding overdue invoices, sending collection emails, updating payment information in Quick Books, and helping the AR team catch up on a backlog of hundreds of outstanding accounts. This contract position is ideal for someone with at least 1 year of experience handling invoice preparation, account follow-up, and payment tracking in a fast-paced office setting.

The role requires strong accuracy, comfort working with digital records, and the ability to communicate effectively with customers regarding open balances.

Responsibilities:

- Generate and review customer billing documents to ensure charges are accurate, complete, and submitted on time.

- Monitor open receivables, follow up with clients on overdue balances, and document collection activity clearly.

- Validate invoice details against supporting records before processing to reduce discrepancies and payment delays.

- Maintain organized electronic files by scanning, uploading, and tracking invoice documentation for easy retrieval.

- Assist with the preparation and processing of invoices while keeping account information current in the system.

- Use Quick Books Online and other office tools to record transactions, update receivable data, and support reporting needs.

- Respond to customer questions related to billing, payment status, and outstanding invoice amounts in a clear and courteous manner.

Requirements - At least 1 year of experience in accounts receivable, billing, or collections support.

- Working knowledge of commercial collections practices and invoice follow-up procedures.

- Experience preparing, verifying, and managing customer invoices with a high level of accuracy.

- Proficiency with Quick Books Online and general computer applications used in office environments.

- Ability to scan, organize, and maintain invoice records in digital filing systems.

- Strong attention to detail and the ability to handle multiple tasks with consistent accuracy.

- Effective written and verbal communication skills for customer and internal team interactions.
