Customer Service Rep
Please note - Given the responsibilities for this position, you must be able to work onsite at our Des Plaines HQ.
The Compliance Services Specialist will handle a portion of the 200,000 registration renewals processed annually. The specialist will develop relationships with DMVs and trusted vendors to ensure industry partnerships. The role requires proficiency in external and internal systems and technologies for processing and communication. The specialist will follow detailed tracking methods to ensure fleet vehicles are legally on the road with proper licenses and registrations.
The role includes flexibility to be reassigned to different teams to meet business needs and enhance customer satisfaction.
DRIVER FULLILLMENT CENTER
- Print title, registration, and tax documents based on owner, state, and specific instructions, ensuring compliance with relevant statutes
- Identify, analyze, and resolve license, title rejections, or questions related to titles, registration, and taxes
- Create, update, and adjust print positions on forms via Forms Definition
- Order duplicate MSOs directly through manufacturer websites and follow up until received
REGISTRATION EXPRESS
- Process title and registration transactions for vehicles relocating to new states/provinces, buyouts, and new vehicle deliveries not completed by dealers. Obtain/issue temporary tags as needed for vehicle legality
- Ensure timely transaction completion by following up with relevant parties to meet team metrics
- Perform inquiries with DMV agencies to validate VIN data
- Follow up with dealers to resolve pending title and registration issues
- Manage temporary tags to ensure vehicle compliance until permanent plates are issued, following up as necessary
REGISTRATION RENEWALS
- Process renewals via appropriate methods (electronic transfer, online, mail), maintaining accuracy and timeliness standards
- Verify billing accuracy for renewal services
- Reconcile discrepancies using Wheels’ databases and vendor reports
- Use best methods to keep vehicles legally compliant for clients
- Contact drivers or clients to fulfill jurisdiction requirements (e.g., emissions checks, violations) and coordinate with other departments to complete renewals
EDUCATION and/or EXPERIENCE:
- High school diploma or equivalent
- At least 2 years of office or customer service experience
- Experience with Salesforce request management system for client/driver requests
