The Office Manager in a Health Care and Social Assistance setting plays a pivotal role in ensuring the smooth and efficient operation of the office environment. This position is responsible for overseeing daily administrative functions, managing financial processes such as accounts payable and bookkeeping, and maintaining accurate records to support organizational compliance and operational needs. The Office Manager acts as a central point of coordination for appointment scheduling and general office duties, facilitating communication between staff, patients, and external partners.

By implementing effective office management practices and utilizing tools like Quick Books, the Office Manager contributes to the financial health and organizational efficiency of the facility. Ultimately, this role supports the delivery of high-quality care by creating an organized, well-managed office atmosphere that enables clinical and support staff to focus on their core responsibilities.

Minimum Qualifications:

  • Proven experience in office management, preferably within the healthcare or social assistance industry.
  • Proficiency in accounts payable and bookkeeping, with hands-on experience using Quick Books or similar accounting software.
  • Strong organizational skills with the ability to manage multiple tasks such as appointment scheduling and records management.
  • Excellent communication skills to interact effectively with staff, patients, and external partners.
  • High school diploma or equivalent; associate degree or higher in business administration or related field preferred.

Preferred Qualifications:

  • Experience working in a healthcare or social assistance environment with knowledge of relevant regulations and compliance requirements.
  • Advanced proficiency in Quick Books and other office software suites (e.g., Microsoft Office).
  • Certification in office management or bookkeeping.
  • Demonstrated leadership experience managing administrative teams.
  • Familiarity with electronic health records (EHR) systems and healthcare billing processes.

Responsibilities:

  • Manage day-to-day office operations including general office duties and administration to ensure a productive work environment.
  • Oversee accounts payable processes, ensuring timely and accurate payment of invoices and reconciliation of financial records.
