SUMMARY OF POSITION AND RESPONSIBILITY
The Marketing Coordinator is responsible for coordinating and managing marketing and sales projects from start to finish. This role will support the Multifamily and Single
- Family teams by coordinating marketing materials, product samples, social media, customer-facing events, gallery activities, promotional merchandise, and sales resources. This position serves as a central point of coordination between sales, leadership, suppliers, office administration, designers, architects, purchasing managers, builders, developers, general contractors, and other customers. The coordinator represents the company professionally and ensures that customer-facing materials accurately reflect current products, services, capabilities, and brand standards.
Marketing Material Development
- Create professional marketing materials using Adobe Express, Canva, and other approved programs.
- Develop and maintain product option catalogs, digital presentations, brochures, flyers, handouts, sample boards, and other customer-facing resources.
- Create project-specific materials for customer meetings, bid opportunities, product selections, and sales presentations.
- Confirm that all materials contain accurate product names, door styles, finishes, colors, hardware, cabinet construction options, and counter top selections.
- Maintain consistent branding across all company divisions and related business entities.
- Review materials regularly and update or remove discontinued products, outdated photographs, and inaccurate company information.
- Organize final files so the sales team can quickly locate and distribute the most current versions.
- Coordinate development of sample boxes, sample books, sample boards, and other product presentation materials.
- Work with suppliers to obtain design options, pricing, minimum quantities, production timelines, and delivery information.
- Prepare pricing and quantity recommendations for leadership approval before orders are placed.
- After approval, coordinate order and payment details through the Office Administrator.
- Review finished sample materials for quality, accuracy labeling, and consistency before distribution.
- Maintain records of orders, quantities, costs, delivery dates, and recipients.
- Create, schedule, and publish content for Linked In, Instagram, Facebook, and other approved platforms.
- Share completed-project photographs, company updates, product information, employee highlights, customer events, trade shows, partnerships, and other relevant content.
- Develop content that increases awareness of company capabilities, products, completed work, employees, customers, and community involvement.
- Manage content for all assigned company divisions and related business entities as directed.
- Verify project and product details before publishing and obtain approval when a post identifies a customer, development, or business partner.
- Monitor comments, messages, mentions, and engagement; route sales opportunities or customer concerns to the appropriate team member.
- Maintain a consistent, professional brand voice and track basic engagement to identify high-performing content.
- Monitor applicable Google Business Profiles for ratings, reviews, questions, and business-information changes.
- Respond professionally to positive reviews when appropriate.
- Prepare responses to negative feedback and obtain leadership approval before publishing.
- Immediately notify leadership of serious complaints, inaccurate claims, or concerns that may affect the company’s reputation.
- Keep approved photographs, hours, phone numbers, addresses, and service descriptions current.
- Provide daily marketing and administrative support to both sales teams.
- Prepare materials for customer meetings, project presentations, bid opportunities, and follow-up communication.
- Coordinate sample requests for designers, architects, purchasing managers, builders, developers, and general contractors.
- Provide current product offerings, catalogs, specification materials, cabinet-door and color photographs, counter top selections, hardware information, and completed-installation images.
- Confirm that samples and supporting materials match the project type, specification, and customer needs.
