Role Overview

We’re seeking a highly organized and detail-oriented Onboarding Assistant to join our Operations team. This individual will serve as the first point of contact for newly hired loan officers, managing the full onboarding, credentialing, and licensing process to ensure smooth transitions into the West Capital ecosystem. You’ll work closely with compliance, recruiting, and operations to maintain high standards and a seamless experience for every new hire.

Responsibilities
  • Manage onboarding and NMLS licensing for all incoming loan officers and branches
  • Guide new hires through background checks, fingerprinting, documentation, and state-specific licensing requirements
  • Coordinate with recruiters and hiring managers to ensure onboarding timelines are met
  • Maintain accurate and up-to-date licensing records in company systems
  • Liaise with compliance and legal teams to verify eligibility and regulatory adherence
  • Provide clear communication and support to new hires throughout the process
  • Track onboarding progress and generate weekly reports for leadership
  • Continuously improve onboarding workflows to support scale and efficiency
Qualifications
  • 2+ years of experience in mortgage licensing, onboarding, or operations (strongly preferred)
  • Detail-oriented with excellent time management and organizational skills
  • Strong verbal and written communication skills
  • Tech-savvy with the ability to learn internal systems quickly
  • Professional, customer-focused mindset with a sense of urgency
  • Experience working in a fast-paced, high-volume environment
  • This is a full-time, in-office position (no remote/hybrid)
  • 40 hours/week, Monday–Friday
  • Must be able to work onsite in our Irvine office
