Position: Office Manager (Detroit)

Overview

STATUS: Part-time (20-24 hours/week), Non-Exempt
LOCATION: Detroit (Remote option based on CEO schedule)
REPORTS TO: President & Chief Executive Officer

Duties/Responsibilities

The Office Manager provides administrative support to the President & CEO, managing calendars, scheduling, correspondence, liaison work with the Board, portal management for grants and reporting, and special projects that enable leadership to focus on strategic priorities and mission advancement. Provide ad hoc administrative support to the CFO.

This role requires strong organizational skills, absolute discretion with confidential information, and the ability to anticipate needs in a fast-paced nonprofit environment. This position is also responsible for the ongoing office management, including: ordering supplies and managing conference room schedules.

ESSENTIAL JOB FUNCTIONS Administrative Operations & Financial Support
  • Manages calendar systems and meeting scheduling for President & CEO; coordinates with staff to ensure efficient scheduling and minimize conflicts.
  • Processes correspondence, emails, and communications for President & CEO; maintains organized filing systems for leadership documentation.
  • Supports financial administration, including invoicing, credit card purchases, administering membership and subscription renewals, and reimbursement requests for the CEO.
  • Organizes and maintains confidential files, records, and documentation for leadership; ensures secure handling of sensitive materials.
  • Provides administrative support for board meetings, donor meetings, and strategic initiatives led by President & CEO; provides ad hoc administrative support to the CFO.
Office Facilities & Technology
  • Manages office supply inventory and vendor relationships; places orders to support office operations and is the MWF liaison with the property management of the Detroit office.
  • Troubleshoots basic technology issues and coordinates with IT support providers; manages software access and credentials for leadership
  • Maintains office equipment and coordinates service as needed.
Scheduling, Travel & Meeting Support
  • Coordinates travel arrangements for President & CEO, including flights, hotels, ground transportation, and expense documentation.
  • Schedules and provides logistical support for board meetings, leadership meetings, and stakeholder events.
  • Prepares meeting materials, maintains agendas, and drafts committee and board minutes.
Executive Support & Special Projects
  • Prepares reports, presentations, and materials as requested by the President & CEO and CFO.
  • Coordinates special projects and initiatives led by the leadership team
  • Maintains donor contact information and assists with acknowledgments and follow-up coordination.
  • Represents MWF professionally in all interactions with board members, funders, loan clients, and external partners.
Other Duties as Assigned
  • Performs special projects and tasks as requested by the President & CEO.
  • Contributes to maintaining MWF culture and values through engagement in team activities.
Education and

Preferred Qualifications

Required

  • College degree preferred; minimum of five years of administrative or office experience, preferably with executive leadership.
  • Strong organizational and time management skills with proven ability to manage multiple tasks and priorities.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace; capability with databases and software portals used by funders (Grantsolutions, Fluxx, etc.).
  • Excellent written and verbal communication skills.
