Position: Benefits & Enrollment Administrator ( Hybrid)

Harvard Resource Solutions/Venteon is seeking a Benefits & Enrollment Administrator for their client in Detroit on a direct hire basis.

Hybrid Schedule ( 1
-2 days in office, 3-4 days remote)

Summary

Seeking a Benefits & Enrollment Administrator to provide administrative, enrollment, billing, and outreach support within the Field Services Department. This position will work closely with Field Service Representatives, participants, union representatives, and employer contacts to ensure accurate benefit administration and effective communication of plan information.

Benefits and Enrollment Administrator
  • Anticipate departmental resource and administrative needs to support daily operations.
  • Prepare documents, reports, presentations, and other materials for internal and external use.
  • Research participant questions and concerns and provide Field Service Representatives with information and resources to assist with resolution.
  • Maintain office supplies, department files, records, and other administrative materials.
  • Manage mail distribution, copying, filing, and general office support activities.
  • Prepare Participation Agreements and other related documents for review and execution.
  • Coordinate office workflow and staffing needs to ensure adequate departmental coverage.
  • Prepare the monthly Field Services Board Report.
  • Track enrollment activity for new groups and during benefit enrollment periods.
  • Review billing for new groups to ensure accuracy, completeness, and compliance with plan requirements.
  • Coordinate printing and distribution of bulletins and rate cards following receipt of updated rates.
  • Work onsite at least 1–2 days per week to complete duties that cannot be performed remotely.
Benefits Outreach & Communication
  • Promote plan benefits and services to union officers, members, business agents, and employer representatives.
  • Develop and maintain positive working relationships with union representatives, local union office staff, and employer contacts.
  • Clearly communicate benefit plan information, rules, requirements, and procedures.
  • Educate union officers, business agents, and employer representatives regarding available benefits and plan requirements.
  • Travel occasionally,
    less than 20%, to assist Field Service Representatives with enrollment activities and company education.
  • Prepare and mail new hire information packages to newly eligible participants.
  • Update electronic systems to document the distribution of information packets and benefit identification cards.
  • Monitor and maintain adequate inventory of new hire packets and related materials.
  • Ensure enrollment and participant records are entered and maintained accurately.
Qualifications
  • Minimum of 2 years of experience maintaining detailed enrollment and billing records
    .
  • Minimum of 2 years of experience preparing Participation Agreements, legal documents, contracts, or comparable documentation
    .
  • Exceptional attention to detail and strong organizational skills.
  • Demonstrated ability to accurately enter and maintain data across multiple electronic systems.
  • Strong written and verbal communication skills.
  • Ability to effectively communicate benefit plans, rules, and requirements to a variety of audiences.
  • Professional interpersonal skills with the ability to build positive relationships with participants, union representatives, and employer contacts.
  • Ability to manage multiple priorities, meet deadlines, and work independently.
  • Ability and willingness to travel occasionally, less than 20%.
