About

the Role

We are seeking a highly organized and proactive Project Coordinator to support the successful execution of HVAC and Plumbing projects across our organization. This role works closely with the Project Managers and General Manager to ensure projects are well-coordinated, properly documented, and progress efficiently from kickoff to closeout. The Project Coordinator connects the office and field, ensuring teams have the information, materials, and support they need to deliver high-quality work.

Key Responsibilities
  • Support Project Managers in the planning and execution of HVAC and Plumbing projects
  • Help maintain project schedules, milestones, and deliverables across multiple jobs
  • Track project progress and proactively communicate risks or delays
  • Assist in keeping projects on track through coordination and follow-up
  • Create and maintain complete, organized project files (Teams, digital, and physical)
  • Ensure all project documentation is accurate, current, and properly stored
  • Manage project checklists and ensure key stages are completed
  • Prepare job documentation packages for field teams (Foremen, Field Supervisors)
  • Assist with purchase orders, material tracking, and vendor coordination
  • Monitor order status and ensure materials are delivered on time
  • Support reconciliation of materials, packing slips, and invoices
  • Help resolve material issues impacting job progress
  • Assist with permits and inspection scheduling
  • Track submittals and document each stage of the process
  • Handle equipment registration and closeout documentation
  • Ensure all required project startup and compliance items are completed
  • Serve as a key link between Project Managers, General Manager, Field Supervisors, and Foremen
  • Coordinate project updates, needs, and changes across teams
  • Support communication with vendors and external partners as needed
  • Assist PMs with day‑to‑day coordination tasks to improve efficiency
  • Help prepare reports, updates, and internal project summaries
  • Support job closeout processes, including documentation completion
  • Take initiative to remove bottlenecks and improve workflow
What We're Looking For
  • 1–3+ years of construction project coordination, administrative support, operations, or related experience
  • Basic understanding of HVAC and plumbing systems preferred
  • Experience with project management and construction software such as Procore, Autodesk, Smartsheet, Service Titan, or similar platforms preferred
  • Strong organizational skills with the ability to manage multiple projects and priorities simultaneously
  • High attention to detail and a process‑driven mindset
  • Strong written and verbal communication skills; ability to effectively coordinate between office staff, project managers, and field teams
  • Proficiency in Microsoft Office, particularly Excel
  • Ability to thrive in a fast‑paced, collaborative environment
