Overview
Position Summary: The Team Leader provides leadership and non-medical operations oversight of the Medical Assistants and Front Desk Receptionists within the practice. Assists the Manager of Clinic Operations with ensuring compliance with policy and standards set forth by executive officers as well as by state and federal regulatory agencies. The Team Leader is responsible for the management and monitoring of the staff (Medical Assistants and Patient Access Representatives).
S/he will provide feedback to the staff and recommend corrective action to the Manager of Clinic Operations, when necessary. The Team Leader may delegate tasks to team members, keeping in mind that the Team Leader remains accountable for the outcomes. Through the supervision of clinical and operational activities, the Team Leader ensures optimal clinical operations and quality healthcare with the highest levels of patient satisfaction within their assigned clinic.
- Clinic Management:
Report patient concerns to the Manager of Clinic Operations; work with the Manager of Clinic Operations and Facilities Director to manage inventory of medical items including laboratory supplies, medications, vaccines and other medical supplies; maintain medical waste storage and disposal records for all laboratory supplies and medications; work with Manager of Clinic Operations and Facilities Director to ensure proper working order and compliance of all clinical instruments and equipment;
maintain patient confidentiality; perform as Medical Assistant (MA) or Patient Access Representative (PAR), per those role descriptions. - Practice Business Functions:
Stay current with and uphold all policies, procedures and protocols of Park Medical Centers, a division of McLaren Health Care with emphasis on Quality Measures; review and act on all communications to ensure closure/completion (billing inquiries, email, Parknet messaging, calendar, Team Leader Summary, etc.); perform quality assurance checks of activities that support daily office operations (Parknet Service Tickets, billing messages, error reports, etc.);
review and analyze reports (e.g., Team Leader Summary Report, billing messages) and take action where necessary; check for new bulletins and other Parknet Educational Resources items at least once per week; promptly handle certified mail; perform other responsibilities as requested. - Facilities:
Ensure clinic is opened for business at the scheduled time and closed, locked, with the alarm turned on after all staff have exited; perform routine checks on facilities and promptly report any hazardous situation; conduct daily clinic walk-throughs and final end-of-day walk-through; conduct Clinic Maintenance Inspections to ensure a hazard-free workplace; ensure biohazard containers are in proper locations and properly mounted;
keep OSHA binder, Safety Data Sheets (SDS) and chemical inventory up to date; conduct documentation of surveys (Chemical Inventory, Room Temperature and Humidity checks, Eyewash Station inspections, Temperature and Humidity Log, SDS binder); maintain office equipment and report malfunctions; manage inventory of non-medical items with Manager of Clinic Operations and Facilities Director; submit routine maintenance requests; adhere to policies of external regulatory agencies (HIPAA, PCMH, OSHA, CLIA, CMS);
respond to emergencies quickly; perform other responsibilities as requested.
Required: High school diploma or equivalent and six months experience as a Medical Assistant or a Patient Care Tech.
- High school diploma or equivalent and completion of one of the following programs: medical assistant, emergency medical technician, nurse assistant, licensed practical nurse, armed services medic, or patient care technician.
- For clinics with Rural Health Designation, Basic Life Support (BLS) issued by the American Heart Association (AHA), American Red Cross (ARC), and Canadian equivalents (MHC approved providers for resuscitation certification) is required within 6 months of hire.
- For positions designated as float positions, travel to or between clinics is required.
- Certified Medical Assistant (CMA) through the American Association of Medical Assistants (AAMA) or Registered Medical Assistant (RMA) through the American Medical Technologists (AMT).
- Electronic medical record experience.
- One-year experience working in a medical office with multiple providers.
- Previous experience working in a medical office of the same specialty.
