The Billing Specialist supports the firm’s billing operations by preparing client invoices, maintaining accurate billing records, and ensuring compliance with established billing guidelines. This role works closely with attorneys, legal assistants, and senior billing staff to facilitate timely and accurate invoicing and to uphold the firm’s financial integrity.
Key Responsibilities- Prepare standard client invoices under supervision using approved billing templates and firm billing guidelines.
- Review attorney time entries and expense records for completeness, accuracy, and compliance with firm standards.
- Assist with uploading invoices to client e‑billing portals and correcting basic rejections.
- Maintain billing documentation, backup, and audit trails within the billing system.
- Track billing deadlines and assist with month‑end billing cutoffs.
- Perform routine data entry and updates in the billing system to ensure accurate client and matter information.
- Escalate billing discrepancies or missing information to senior billing staff.
- Communicate with attorneys and staff to obtain required billing details or clarify entries.
- Assist with special billing projects, reporting needs, or process improvements as assigned.
- Perform other duties as assigned.
Prolonged periods of sitting at a desk and working on a computer (up to 8 hours per day).
Ability to lift and carry files, binders, or office materials weighing up to 10–15 pounds.
Frequent use of hands and fingers for typing, data entry, and handling documents.
Visual acuity required to review digital and printed billing records, spreadsheets, and financial data.
Ability to communicate clearly in person, by phone, and via electronic communication.
Occasional bending, reaching, or standing to access files and office equipment.
