Fantasee Integration is seeking a detail-oriented and highly organized Estimator to join our sales team. This role is essential to the company’s growth, responsible for transforming bid invitations and RFPs into complete, competitive, and professionally assembled proposals.

The ideal candidate brings strong time management skills, meticulous attention to detail, and a disciplined approach to documentation. You will manage your own pipeline of active bids and quotes, coordinating with manufacturers and reps to obtain pricing and specifications, and ensuring every submission is accurate, complete, competitive, and delivered on time. You are organized, resourceful, and relentless about meeting deadlines as there is no margin for late or incomplete bid submissions.

This is a high-visibility position on a small, tight-knit team that holds itself to an exceptional standard in everything it delivers.

Role & Responsibilities
  • Review and interpret bid documents, RFPs, and project specifications to identify scope, product requirements, submission deadlines, and any special conditions or compliance requirements.
  • Assemble complete, accurate, and on-time bid packages for public and private projects.
  • Research and compile pricing from individual vendors and distributors for bids and quotes, ensuring pricing is current, competitive, and complete.
  • Manage your own bid pipeline and calendar — tracking all active bids, due dates, and follow-up milestones without needing to be chased.
  • Maintain accurate and up-to-date records in the company’s CRM and project management platforms, ensuring the sales and operations teams have full visibility into the status of every opportunity.
  • Proactively use available resources — manufacturer portals, rep contacts, specification libraries, and industry references — to find the information you need to put bids together without waiting to be spoon-fed.
  • Coordinate with project managers, logistics, and outside sales staff to ensure smooth hand-offs from awarded bids to project execution.
  • Generate day-to-day quotes for boxed goods as needed in support of the broader sales team.
  • Answer incoming calls and inquiries, acting as front-line customer service — fielding requests, generating quotes from incoming inquiries, and directing calls to the appropriate team members as needed.
  • Document your work thoroughly — every bid, every quote, every pricing decision, every vendor conversation.
Preferred Experience
  • 2–5 years of experience in estimating, bid preparation, or a sales support role — preferably in the construction, specialty contracting, electrical, A/V, or architainment industries
  • Familiarity with public bidding processes including reading and interpreting bid documents, and assembling compliant bid submissions
  • Experience working with manufacturers, manufacturer’s representatives, and distributors to obtain product pricing and technical specifications
  • Strong time management and organizational skills — you manage multiple concurrent deadlines and never let a submission date slip
  • Exceptional attention to detail — you catch errors in pricing, specifications, and bid requirements before they become problems
  • A disciplined approach to documentation — you keep meticulous records of your work and can pull up any bid, quote, or vendor conversation at a moment’s notice
  • Proficiency with CRM platforms (Hub Spot, Build Ops, or similar) and comfort learning new software tools quickly
  • Ability to work independently and resourcefully — you don’t wait for someone to hand you what you need; you go find it
  • Strong written and verbal communication skills with the ability to interface professionally with manufacturers, reps, clients, and internal team members
  • Experience in or familiarity with the theater, lighting, A/V, or architainment industry is a strong plus

Expected Salary Range: $65,000 - $80,000 (negotiable based on experience)
